Founder Tiara Tragas brings 8+ years of hands-on experience across pricing, scoping, bookkeeping, pay structures, systems, and execution, and our team of operational experts and financial analysts works collaboratively to deliver the dashboards, processes, and clarity that agencies need to grow with confidence. About the Role We're hiring a Bookkeeper & Financial Operations Specialist who can do more than keep the books clean. You'll own day-to-day accounting for select clients and work alongside leadership on the financial modeling and forecasting work that defines what we do for companies. This means you're equally comfortable in QuickBooks and complex Google Sheets, as fluent in reconciliations as you are in scenario modeling, and you actively use AI tools to work faster and smarter. What You'll Own BOOKKEEPING & DAILY FINANCIAL OPERATIONS Record, categorize, and reconcile daily transactions across bank and credit card accounts Manage accounts receivable and accounts payable, invoicing in QuickBooks and Xero, tracking payment status, and following up proactively on overdue accounts Maintain clean, audit-ready books and organized digital filing at all times Execute month-end, quarter-end, and year-end close; deliver reconciled books by the 5th of each month Prepare monthly financial reports (P&L, cash flow, margin snapshots) and support external accountants at year-end FINANCIAL MODELING & FORECASTING (CLIENT-FACING) You'll work directly with leadership on the financial models we build for clients. Build financial models from scratch, including revenue projections, cost structures, cash flow forecasts, and scenario analyses Maintain and update existing models as client financials evolve, keeping assumptions, drivers, and outputs accurate Support the preparation of client-facing forecast presentations: clean, clear, and decision-ready Help translate raw financial data into insights that leadership can actually act on AI-POWERED WORKFLOWS & SYSTEMS We use AI tools actively in our work and expect you to do the same. Use AI tools (ChatGPT, Claude, and others) daily to accelerate analysis, drafting, and data work, a core part of how you operate, not a novelty Identify and implement workflow improvements that reduce manual effort and improve output quality Leverage automation and modern tooling across accounting platforms and spreadsheets Maintain consistency across systems; flag process gaps, risks, or inefficiencies proactively Tools You'll Work With QuickBooks Online & Xero Google Sheets / Excel, advanced level required AI tools: ChatGPT, Claude, and similar (daily use expected) Banking platforms & credit card portals What We're Looking For Required 3+ years of bookkeeping or financial operations experience Hands-on experience with QuickBooks Online and/or Xero Advanced Google Sheets or Excel skills — you build models, not just fill in data Experience building or maintaining financial models: forecasts, scenario analyses, cash flow projections Active daily user of AI tools — able to speak concretely to how you use them in your workflow Strong understanding of reconciliations, AR/AP, and month-end close Highly organized, detail-oriented, able to manage recurring deadlines without oversight Clear communicator who flags issues early and documents work well Nice to Have Experience supporting a consulting firm, agency, or multi-client environment Familiarity with financial reporting for service-based or professional services businesses Experience preparing forecasts or models for external client presentations Exposure to multi-entity or multi-currency environments Background working alongside external accountants on tax preparation Next Steps To apply, please share: A brief overview of your bookkeeping and financial modeling experience Examples of financial models or forecasts you've built or maintained How do you currently use AI tools in your day-to-day work Your availability and preferred engagement structure (hours/week, contractor vs. employee)
