Buildertrend + Xero Integration & Job-Costing Specialist — UK Construction (CIS/DRC Essential)

About us: We are a UK-based roofing and building services contractor using Buildertrend for project management and estimating, and Xero for accounting. Our problem: project bills and expenses are entered directly into Xero rather than flowing through Buildertrend, so we have no reliable real-time job costing or project profitability and our estimators can't price new work off what similar jobs actually cost. We want to fix this end to end. What we need you to do: Phase 1: Financial workflow & integration (the foundation) Set up a workflow where POs and bills are managed in Buildertrend, assigned to jobs and cost codes, syncing cleanly into Xero Configure and validate the Buildertrend ↔ Xero integration, including correct tax treatment Clean up and structure our cost codes for accurate job costing Set up Budget vs Actual reporting in Xero at project level Phase 2: Bidding & estimating (built on the cost data) Configure Buildertrend's bidding/estimating function so our estimators can build client proposals off real historical cost data Structure cost codes and templates so past actuals inform future quotes Enable clear visibility of cost vs margin at the estimating stage, so client pricing reflects true job costs (Our estimating logic and markups come from our team — we need you to configure the tool to reflect them, not to set our pricing) Phase 3: Documentation & training Document the full workflow (SOPs) Train our admin and estimating team on the new process Non-negotiable requirements: Hands-on experience with the Buildertrend ↔ Xero integration specifically Demonstrable UK CIS and Domestic Reverse Charge (DRC) VAT experience — most of our subcontractor and main-contractor invoicing is DRC Experience configuring Buildertrend's estimating/bidding module for a contractor Construction/contractor job-costing experience Please also include: Two examples of similar UK construction Buildertrend/Xero setups you've completed Your estimated hours and rate Your availability We have a clear phased scope and are ready to start with the right person.
