Our clients range from growing organizations to enterprise-level brands across a variety of industries. We are seeking a highly organized Business Development Coordinator to support our sales and growth efforts. This role will help manage inbound opportunities, coordinate communications with prospective clients, maintain CRM records, assist with proposal development, and ensure a seamless experience throughout the business development process. This is a remote, part-time position requiring approximately 8–12 hours per week. Responsibilities Lead Management Monitor and manage inbound website inquiries and lead submissions. Respond to prospective clients using established communication templates and processes. Qualify inbound opportunities and gather preliminary project information. Schedule discovery calls and meetings with agency leadership. Ensure all inbound inquiries receive timely responses and follow-up. Business Development Support Manage communications with prospects from initial inquiry through proposal delivery. Draft and send meeting confirmations, follow-up emails, and next-step communications. Track open opportunities and ensure follow-up activities are completed on schedule. Assist in maintaining a consistent and professional prospect experience throughout the sales process. Support re-engagement efforts for dormant opportunities. Meeting Coordination & Documentation Attend discovery calls, sales meetings, and prospect discussions. Take detailed notes during meetings and document key discussion points. Prepare meeting summaries, action items, and follow-up recommendations. Capture project requirements, stakeholder information, timelines, budgets, and business objectives. Ensure meeting notes are properly documented within the CRM. Proposal Development Assist with the preparation of proposals, statements of work, and supporting sales materials. Coordinate collection of project requirements, timelines, and supporting information from internal stakeholders. Assemble case studies, capabilities presentations, and supporting documentation. Format, proofread, and organize proposal materials prior to delivery. Maintain proposal templates and business development collateral. CRM Administration & Reporting Maintain accurate CRM records, contacts, activities, and opportunity stages. Update pipeline status and next actions based on prospect activity. Ensure all meetings, communications, and follow-up activities are documented. Generate basic pipeline and activity reports as requested. Help maintain overall data quality and consistency within the CRM. Prospect Research Conduct research on prospective clients prior to discovery meetings. Prepare briefing materials summarizing company background, industry information, digital presence, and key stakeholders. Identify relevant discussion topics and areas of opportunity for sales conversations. Qualifications Required 2+ years of experience in sales support, business development coordination, account coordination, project coordination, or a similar role. Exceptional written and verbal communication skills. Strong organizational skills and attention to detail. Ability to manage multiple priorities independently. Experience using CRM platforms such as HubSpot, Salesforce, Pipedrive, or similar systems. Proficiency with Google Workspace and Microsoft Office. Preferred Experience working within a digital agency, marketing agency, consulting firm, or professional services environment. Experience supporting proposal development, RFP responses, or client-facing documentation. Familiarity with website design, web development, branding, or digital marketing services. Experience with HubSpot is preferred. What Success Looks Like Inbound leads receive prompt and professional responses. CRM records remain accurate and up to date. Discovery meetings are documented thoroughly and consistently. Proposal materials are prepared accurately and on time. Prospect communications and follow-ups are executed without delays. Opportunities progress through the pipeline efficiently with clear documentation and next steps. Hours & Compensation Remote position. Approximately 8–12 hours per week. Flexible schedule with some availability during U.S. business hours. Hourly compensation based on experience.
