CPA / Financial Analyst Needed to Validate SaaS Financial Dashboard Calculations
Worldwide
We are building a financial intelligence SaaS platform for medical spas that use Zenoti. The product connects medspa revenue and appointment data with manually configured cost assumptions to calculate service profitability, provider profitability, device ROI, room utilization, break-even, cash flow, forecasting, and financial health metrics. We are looking for an experienced CPA, financial analyst, fractional CFO, or financial model reviewer to independently validate our financial calculations using a deterministic test dataset. This is not a general bookkeeping job. We need someone who can audit formulas, recalculate outputs from source data, challenge assumptions, and tell us whether the dashboard numbers are financially correct and understandable for a medspa owner. The goal: Confirm that our financial pages calculate the right numbers, use appropriate formulas, and explain the metrics correctly to a non-financial business owner. Important: We are not asking for a full financial statement audit. We are asking for a calculation validation / financial model review / agreed-upon procedures style review of the SaaS dashboard logic. Background: The platform currently focuses on the CFO / financial intelligence side. Current product areas to validate: * Cost Center / cost assumptions * Dashboard * Financials * Profitability * Forecasting Future product areas like retention automation, campaign automation, and AI chat are not part of this scope. What we will provide: * A deterministic “Training” dataset from our database * CSV exports of relevant database tables * Our formula/equation document * Screenshots or PDF exports of the app pages * A read-only staging login if appropriate * A validation script output if available * Business context for how a medspa operates * List of assumptions currently used in the product Relevant source data may include: * Locations * Business targets * Fixed costs * Providers/payroll * Services * Products/consumables * Service-consumable mappings * Equipment/devices * Service-device mappings * Rooms * Appointments * Invoices * Invoice items * Payments * Gift cards * Memberships * Marketing costs * Allocation rules Main calculations to validate: 1. Revenue and cash * Recognized revenue * Cash collected * Deferred revenue * Gift card liability * Membership liability * Refunds * Discount leakage * Cash collection ratio 2. Cost calculations * Fixed operating costs * Selected-period fixed cost proration * Variable delivery costs * Product/consumable costs * Provider hourly labor * Provider commission * Provider salary treatment * Device/equipment cost * Marketing cash vs non-cash cost * Owner draw / other cash out if applicable 3. Profit calculations * Contribution profit * Contribution margin * Operating profit * Net profit * Net profit margin * Fixed cost ratio * Variable cost ratio * Payroll ratio * Marketing ratio * Rent ratio 4. Break-even calculations * Break-even revenue * Break-even gap * Break-even appointments * Revenue needed per day * Handling of zero or negative contribution margin 5. Service profitability * Service revenue * Service direct cost * Consumable cost per service * Provider labor per service * Provider commission per service * Device cost per service * Allocated overhead * Service contribution profit * Service margin * Profit after overhead * Profit per minute * Revenue per minute 6. Provider profitability * Provider revenue * Provider contribution profit * Hourly cost * Commission cost * Salary treatment * Revenue per booked hour * Profit per booked hour * Revenue per available hour * Profit per available hour * Utilization 7. Device profitability * Device monthly payment and maintenance * Time-based device allocation * Per-treatment device allocation if configured * Manual override if configured * Lease/payment coverage * Break-even treatments * Device profit per hour 8. Room/capacity calculations * Treatment room count * Open hours * Working days * Room available hours * Room booked hours * Room utilization * Revenue per room hour * Profit per room hour 9. Forecasting calculations * Projected revenue * Projected contribution profit * Projected net profit * Revenue gap * Profit gap * Required appointments per day * Available provider capacity * Available room capacity * Capacity gap * Goal feasibility * Service mix needed to close gap 10. Data confidence / warning logic * Whether missing setup data is properly flagged * Whether manual estimates are treated correctly * Whether imported/unconfirmed data is treated correctly * Whether low-margin services are treated as business insights, not setup errors Specific questions we want answered: 1. Are the formulas mathematically correct? 2. Are the formulas financially appropriate for a medspa/service business? 3. Are we double-counting anything? 4. Are we excluding anything important? 5. Are fixed costs, variable costs, cash, revenue, and profit being separated correctly? 6. Are provider salary, hourly labor, and commission treated correctly? 7. Are device costs handled correctly? 8. Are gift cards, memberships, and deferred revenue explained correctly? 9. Are break-even and forecasting calculations conceptually correct? 10. Are dashboard labels and explanations understandable for non-financial owners? 11. Are any metrics misleading or named incorrectly? 12. Are there additional metrics medspa owners would expect that we are missing? Expected deliverables: 1. Calculation Review Memo A written memo explaining: * What you reviewed * Which formulas are correct * Which formulas need correction * Which assumptions should be clarified * Which labels or explanations may mislead users * Any medspa-specific financial concerns we missed 2. Recalculation Workbook A spreadsheet where you independently recalculate selected outputs from the Training dataset. The workbook should include: * source data references * formulas used * expected output * app output * difference * pass/fail * notes 3. Issue List A prioritized list of issues: * Critical: calculation is wrong or misleading * High: could materially affect owner decisions * Medium: explanation/labeling issue * Low: optional improvement 4. Recommendations Suggestions for: * better financial definitions * better dashboard wording * additional metrics * clearer owner-facing explanations * confidence warnings * edge cases we should handle 5. Optional If you are a CPA and comfortable with this type of work, please describe whether you can perform this as an agreed-upon procedures style engagement or provide a formal calculation validation letter/report. We understand this is not a full financial audit. What we do NOT need: * Tax preparation * Bookkeeping * QuickBooks cleanup * General accounting services * A full audit opinion * SEC/public-company audit work * Legal advice * Software development Ideal qualifications: * CPA, fractional CFO, financial analyst, or financial model validation specialist * Experience with service businesses * Experience with healthcare, aesthetics, medical spas, dental, wellness, or similar service businesses is a plus * Strong Excel/Google Sheets modeling skills * Ability to audit formulas and explain issues clearly * Comfortable reviewing SaaS dashboard calculations * Familiarity with revenue recognition, cash vs revenue, contribution margin, fixed/variable cost separation, and break-even analysis * Bonus: experience with Zenoti, medspa operations, or multi-location service businesses Proposal instructions: Please include: 1. Your relevant experience 2. Whether you are a CPA or financial analyst 3. Examples of financial model or dashboard validation work 4. How you would approach this review 5. What files/data you would need 6. Estimated timeline 7. Fixed price or hourly estimate 8. Whether you can provide a written validation memo or agreed-upon procedures style report Suggested workflow: Phase 1: Review formula document and app screenshots Phase 2: Review exported Training dataset Phase 3: Recalculate selected dashboard outputs independently Phase 4: Compare app output to your recalculations Phase 5: Deliver findings, corrections, and recommendations Budget: Please propose a fixed price or estimated hourly range. We prefer a focused first engagement rather than an open-ended project. Timeline: We would like the first review completed within 1–2 weeks after receiving all materials. Confidentiality: You will be reviewing proprietary SaaS logic and sample/deterministic test data. We can provide anonymized Training data and may require an NDA before sharing access.
