CRM, Social Media & Administrative Virtual Assistant About the Role We are an established Visiting Angels home care agency serving Northern Virginia seeking a highly organized CRM, Social Media & Administrative Virtual Assistant to support our marketing and administrative operations. This role focuses on maintaining our referral database, supporting our online presence, and assisting with administrative projects that help grow our business. This is a long-term remote position with opportunities to take on additional marketing and operational responsibilities as our agency expands. Responsibilities CRM Management Research hospitals, rehabilitation centers, assisted living communities, skilled nursing facilities, physicians, case managers, and other referral sources Add new referral contacts into our CRM Update and maintain existing CRM records Remove duplicate contacts and improve data quality Organize and maintain marketing databases Prepare targeted contact lists for marketing campaigns and outreach Social Media Marketing Schedule and publish content on Facebook, Instagram, and LinkedIn Create simple graphics using Canva or similar tools Assist with developing monthly social media content calendars Monitor comments and messages and notify management of inquiries Repurpose blog posts, caregiver spotlights, testimonials, and company announcements into engaging social media content Track basic social media performance metrics Help maintain a consistent brand presence across all platforms Administrative Support Maintain spreadsheets and tracking reports Perform internet research Complete high-accuracy data entry projects Organize electronic files and documents Support additional administrative and marketing projects as assigned Required Qualifications Excellent written and spoken English Strong attention to detail Experience using CRM software (HubSpot, Salesforce, Zoho, GoHighLevel, or similar) Experience managing business social media accounts Experience creating graphics with Canva or similar design tools Strong internet research skills Microsoft Office and Google Workspace proficiency Excellent organizational and time management skills Ability to work independently with minimal supervision Preferred Qualifications Home care or healthcare industry experience Marketing or administrative assistant experience Experience with email marketing platforms such as Mailchimp or Constant Contact Basic knowledge of SEO and content marketing Success Measures CRM database remains accurate, organized, and up to date New referral contacts are researched and entered consistently Duplicate records are identified and removed regularly Social media posts are published on schedule Marketing lists are prepared accurately and on time Administrative projects are completed with a high level of accuracy Proactive communication on project status and deadlines Hours 10–20 hours per week initially Monday–Friday during U.S. Eastern business hours Long-term opportunity with room for growth Communication Expectations We value proactive communication and expect: Daily updates on completed work and outstanding tasks Prompt responses during agreed-upon working hours Immediate communication if delays or questions arise Professional communication with our team and community partners How We Work We operate using documented processes and SOPs.
