Summary

We’re Quorum, a San Diego marketing agency that specializes in B2B marketing for professional service companies. We’re hiring a long-term CRM & Systems Specialist to own two things at once: HubSpot administration and training for one of our clients, and ClickUp project management for our own team. Together, the two halves make a full, steady 20 hours per week. This is an ongoing role, 6+ months minimum, with room to grow. You’ll administer HubSpot for a client, build and run ClickUp for us, and create AI agents in both. Must-haves (read before applying): - Pacific hours availability. You must be available during US Pacific business hours (9am–5pm PT). You don’t need to work all eight, but your working hours must fall within this window. Worldwide applicants welcome; this schedule is non-negotiable. - Expert-level English, written and spoken. You’ll be training a client’s team directly, running live sessions, writing documentation, and answering questions in real time. Near-native fluency is required. Proposals that don’t confirm both will not be considered. What you’ll own on the client side (HubSpot): - Build and configure HubSpot to fit the client team’s day-to-day admin needs: properties, pipelines, deal stages, workflows, lists, templates, and reporting - Run ongoing HubSpot administration and cleanup so the system stays usable - Train the client’s team to operate HubSpot confidently on their own. The goal is their independence, not their dependence on us - Build AI agents and automations inside HubSpot that take real work off the client team’s plate What you’ll own on our side (ClickUp + project management): - Project management across our client work: keeping tasks, timelines, and priorities moving - ClickUp administration: structuring spaces, folders, lists, statuses, automations, and dashboards so the system stays clean as we grow - Build AI agents and automations inside ClickUp that streamline our team’s workflows The thread that runs through both: You’re comfortable building AI agents that do actual work, not just toggling on built-in AI features. We want someone who has architected automations and agentic workflows that a team relied on day to day. Requirements: - Deep, hands-on HubSpot admin experience across Marketing, Sales, and/or Service hubs - Know ClickUp well enough to design a workspace, not just complete tasks in one - Experience building AI agents or automations that produced measurable results for a team - Able to teach a non-technical team to run a tool themselves and make it stick - Expert-level English and Pacific-hours availability (see must-haves above) - Treat other people’s systems with care and keep them organized over time Bonus points: - Experience with professional services clients (accounting, recruiting, consulting, financial advisory, IT services) - Familiarity with tools like Clay, Zapier, Make, or API/MCP-based integrations - Prior agency experience
