CRM and Member Operations Assistant for Functional Fitness Gym

Summary

We are functional group fitness gym.e run a close-knit community and a fast-moving operation, and we need someone to be the behind-the-scenes engine that keeps our member experience and lead pipeline from falling apart between sessions. This is primarily an operations and CRM role. If you are looking for a creative social media job, this is not it. The Core of This Role Your main job is to own our CRM and report back to us daily and weekly on what is happening with our leads and members. We should never be caught off guard by a lapsing member, a lead going cold, or a trial ending without follow-up. Every day you will send us a brief covering: New leads and where they are in the pipeline Members who have not been into the gym in over a week Memberships coming off pause Trials ending soon Anyone flagged for a check-in or follow-up call The members and leads flagged in that brief get handed to our team to action personally. Your job is to make sure nothing slips through and we always know who needs attention. Every Monday morning you will send a weekly summary covering key metrics, upcoming birthdays, membership pauses active, and trials in progress. DM and Inbox Management You will monitor our inbound DMs and messages and handle anything that has a straightforward answer. Anything that needs a more personal or nuanced response gets flagged to me with context so I can jump in quickly. You are the filter, not the face. Social Media (Secondary) This is not the focus of the role but if you have an eye for content trends and can occasionally bring ideas to the table around what is working in the fitness and lifestyle space, that is a bonus. We are not asking you to create content — we are asking you to be switched on enough to know our brand and flag opportunities when you see them. What We Are Looking For Someone who is proactive, organised, and does not need to be chased. You should be comfortable working inside a CRM, managing a daily workflow independently, and communicating clearly and concisely. Experience in a gym, fitness studio, or membership-based business is a strong advantage. You need to understand what member retention actually means in practice, not just in theory.
