We run lean operations across multiple office locations in Alberta and rely on Microsoft 365 as our core platform for email, document management, internal collaboration, and business communications. We are looking for a reliable, experienced IT consultant to support our growing team on an as-needed basis. This role will include Microsoft 365 administration, general IT troubleshooting, software support, hardware guidance, website support, and occasional technology project work. This is a remote contract role with work assigned as required rather than on a fixed weekly schedule. Some tasks may require a quick response, while others will be planned in advance. ⸻ What You Will Be Doing You will be our go-to resource for day-to-day IT support, Microsoft 365 administration, software troubleshooting, hardware guidance, and website-related support. Work will be assigned as it arises and must be handled professionally, securely, and with clear communication. Core responsibilities will include: Day-to-Day IT Support * Setting up new user accounts and email addresses in Microsoft 365 * Configuring new Windows PCs and Apple MacBooks for incoming staff through remote guidance, documentation, and coordination with local personnel * Managing user onboarding and offboarding in the Microsoft 365 tenant * Troubleshooting email, account access, password, MFA, permissions, and general Microsoft 365 issues * Providing technical support to staff for common business technology issues * Supporting users with Windows, macOS, Microsoft Office, Outlook, Teams, SharePoint, OneDrive, browsers, PDF tools, antivirus/security software, printers, scanners, and other business applications * Diagnosing software errors, application crashes, syncing problems, connectivity issues, file access problems, and device performance issues * Providing clear step-by-step technical guidance to non-technical users ⸻ Microsoft 365 Administration * Ongoing monitoring and maintenance of our Microsoft 365 tenant * Managing licences, security settings, groups, shared mailboxes, distribution lists, and user permissions * Supporting Exchange Online, Teams, SharePoint, OneDrive, and Microsoft Entra ID / Azure Active Directory * Ensuring the tenant is correctly configured and remains aligned with current Microsoft best practices * Reviewing and resolving Microsoft 365 security, compliance, access, and configuration alerts * Assisting with email deliverability, domain records, DNS settings, SPF, DKIM, DMARC, and mailbox configuration * Documenting Microsoft 365 procedures and configurations for internal reference ⸻ Hardware & Device Support * Advising on the purchase, setup, configuration, and troubleshooting of laptops, desktops, monitors, docking stations, printers, scanners, mobile devices, routers, switches, Wi-Fi equipment, and other office hardware * Providing remote troubleshooting for Windows PCs, Apple MacBooks, peripherals, networking devices, and office equipment * Supporting hardware diagnostics, warranty coordination, replacement planning, and repair recommendations * Coordinating with local staff or third-party vendors where physical installation or repair is required * Assisting with device lifecycle management, including setup, reassignment, retirement, and secure data handling * Supporting mixed Windows and macOS environments ⸻ In-Depth Software Technical Support * Troubleshooting business software issues beyond basic user support * Supporting installation, configuration, updates, licensing, integrations, and user access for business applications * Assisting with Microsoft Office issues, Outlook profile problems, file sync errors, Teams issues, SharePoint access problems, browser conflicts, PDF/document software, cloud storage tools, and accounting or operational software integrations * Investigating recurring software issues and recommending long-term fixes * Working with software vendors where required to resolve escalated technical problems * Supporting data backup, file recovery, version history, and user access restoration where applicable * Creating simple user guides, troubleshooting notes, and standard operating procedures for recurring issues ⸻ Website Design & Website Maintenance * Supporting ongoing maintenance of the company website, including content updates, page edits, image changes, forms, links, contact information, and service pages * Assisting with basic web design improvements to keep the site professional, current, and easy to navigate * Maintaining website functionality, including plugins, themes, forms, security updates, backups, SSL certificates, and hosting-related settings where applicable * Troubleshooting website errors, broken links, display issues, form delivery problems, mobile responsiveness, speed issues, and general usability problems * Coordinating DNS, domain, hosting, email-domain, and website-related technical settings * Supporting basic SEO best practices, Google Business Profile updates, analytics, and website performance monitoring where required * Liaising with hosting companies, web developers, software providers, or third-party vendors when more advanced support is required ⸻ Project Work — As Required * Supporting or leading Microsoft 365 tenant configuration projects, including email domain migrations and data migrations * Supporting tenant-to-tenant migrations, mailbox migrations, SharePoint/OneDrive restructuring, and permission clean-up * Reviewing and improving current IT systems, workflows, security practices, and documentation * Assisting with software rollouts, hardware refreshes, website updates, and new technology implementation * Recommending practical technology improvements that suit a lean construction and oilfield services business * Documenting IT processes and configurations so our internal team can follow standard procedures ⸻ What We Are Looking For We are looking for a practical, experienced IT consultant who can work independently, communicate clearly, and solve problems without needing extensive supervision. The ideal candidate will have: * Proven experience administering Microsoft 365 tenants in a business environment * Strong working knowledge of Exchange Online, Teams, SharePoint, OneDrive, and Microsoft Entra ID / Azure Active Directory * Strong troubleshooting ability across Windows, macOS, Microsoft Office, Outlook, Teams, SharePoint, OneDrive, browsers, PDF tools, printers, scanners, and common business applications * Experience providing in-depth software technical support, including installation, configuration, licensing, updates, access issues, integrations, and vendor escalation * Practical hardware knowledge, including laptops, desktops, monitors, docks, printers, scanners, mobile devices, routers, switches, Wi-Fi, and office peripherals * Experience setting up and configuring both Windows PCs and Apple MacBooks for business users in a mixed-OS environment * Familiarity with Microsoft tenant migrations, including domain transfers, data migration, mailbox migration, and tenant-to-tenant migration * Experience supporting business websites, including basic design edits, content updates, website maintenance, hosting, DNS, SSL, forms, plugins, backups, and troubleshooting * Clear written English communication and the ability to explain technical steps to non-technical staff * Strong documentation habits and the ability to create practical internal procedures * A security-conscious approach to access, permissions, passwords, MFA, devices, and company data * Responsiveness and reliability; we need someone who picks up assigned tasks promptly and communicates clearly on timelines * Availability to respond to urgent requests within a reasonable window during Mountain Time business hours ⸻ Nice to Have The following would be considered an advantage: * Experience working with construction, oilfield services, trades, or field-service businesses * Familiarity with Microsoft Intune or endpoint management, including managing MacBooks in a Microsoft environment * Experience with QuickBooks Online or similar accounting platform integrations with Microsoft 365 * Experience with WordPress, Webflow, Wix, Squarespace, Shopify, or other website platforms * Familiarity with website hosting platforms, domain registrars, DNS management, SSL certificates, Google Analytics, Google Search Console, and Google Business Profile * Experience with cybersecurity best practices, endpoint protection, backup systems, phishing protection, and user awareness training * Experience supporting remote teams across multiple office locations * Ability to recommend practical, cost-effective technology improvements for a lean business environment ⸻ Engagement Details * Remote contract role * All tasks handled through remote access tools, email, phone, Microsoft Teams, and other communication platforms * Some hardware-related work may require remote guidance to local staff or coordination with local vendors * Hourly billing; work logged and invoiced against actual hours * Volume will vary; some weeks may have no tasks, while others may require several hours * We are open to an as-needed hourly arrangement or an ongoing monthly retainer for the right contractor * We expect to establish a long-term working relationship with one trusted contractor rather than engaging multiple providers * The successful contractor must be organised, responsive, technically capable, security-conscious, and comfortable supporting a lean, fast-moving business ⸻ To Apply Please include the following in your proposal: * A brief overview of your Microsoft 365 administration experience * Examples of tenant migrations, email/domain migrations, SharePoint/OneDrive projects, or similar work you have handled * Details of your experience providing software technical support to business users * Details of your hardware troubleshooting and device setup experience, including Windows PCs, Apple MacBooks, printers, scanners, networking equipment, and office peripherals * Examples of websites you have designed, maintained, updated, or supported * Your experience with website platforms, hosting, DNS, SSL, backups, forms, analytics, and website troubleshooting * Your availability and typical response time during Mountain Time business hours * Your hourly rate * Whether you are open to an ongoing monthly retainer arrangement for recurring support
