CONTENT OPERATIONS MANAGER THE ROLE You’re the Content Operations Manager - a manager-level role. You’re not just executing to-dos; you own the health and momentum of the whole content operation: from tasks → to systems → to outcomes. This doesn’t mean doing all the work yourself - it means making sure the system runs smoothly. WHAT YOU’LL OWN THE SYSTEMS YOU OWN (YOUR DOMAIN) These live with you to run, maintain, and keep moving - top of the stack is your own board: * Your personal task board - the top of the stack; always current * Client Fulfillment OS * Project pipeline * Video editing pipeline * All client portals PROJECT PIPELINE & CONTENT INVENTORY MANAGEMENT * Run the video content project pipeline end to end - every video moves idea → script → edit → approved → posted without stalling. * Manage content inventory per client - know exactly how much ready content each client has, and rush or reprioritize work based on it. * Early warning is the job: flag “we’re running low” weeks ahead - no client ever runs out of content. * Content onboarding for new clients - portal setup, access, first queues, and the initial pipeline. CLIENT COMMUNICATION & FEEDBACK MANAGEMENT * Communicate in client channels and portals - clients and the team always know what’s going on with their social media, any issues that arise, and anything we need from them. * Own the client feedback loop end to end - capture feedback, turn it into clear revision tasks, work with the editors to get it done, and close the loop with the client. * Manage approvals - chase them, escalate when stuck, and keep content moving. EDITOR COORDINATION & TEAM ACCOUNTABILITY * Delegate to editors and designers with clear briefs - make their jobs easy; they should never be doing admin. * Share feedback, manage revisions, and hold deliverables to the quality bar. * Review and approve final videos before they publish or go to clients - you’re the last set of eyes on quality. CONTENT PRODUCTION & PUBLISHING * Build and manage post queues; schedule posts ahead across client accounts. * Own the post queue end to end - keep it moving even when a client goes quiet. If a client doesn’t respond or approve, re-pick and reassign content in Notion so the queue never stalls on one person - and chase down the internal and client-facing team members whose follow-up is needed to close the loop. * Post daily social content on schedule - never miss a posting day. * Own captions & metadata - captions, YouTube titles, and SEO keywords on every post. * Keep the content calendar filled in advance - never last-minute. CREATIVE & STRATEGY * Write and rewrite short-form scripts for client content, and run script approvals. * Video ideas, content research, and niche analysis - bring content strategy based on where each client is at. This includes prepping client-specific content ideas ahead of client content/strategy meetings, deliberately varying angles so they don’t get repetitive - on top of the ongoing daily video ideas. * Instagram Stories and light graphic design - story graphics, static ads, and text overlays as needed. COMMUNITY MANAGEMENT * Respond to comments and DMs on client social accounts on a daily rhythm; escalate anything sensitive. ADS (MEDIA BUYING ASSISTANT) * Launch and refresh Meta ad creatives, revise per feedback, and move winners through the funnel. * Assist on campaign structure - rebuilds, budgets, lead forms, and audience/geo targeting per the media plan. * Own weekly Google Ads maintenance - keep campaigns healthy, refreshed, and optimized each week. NOTION AS THE SINGLE SOURCE OF TRUTH * Notion is your home base. The standard: always up to date, accurate, and trusted by anyone who opens it. * Daily reporting rhythm - submit the daily EOD form, update the Fulfillment Matrix and client account pages every day, and run a daily top-to-bottom review of the previous day so nothing slips. * Content Library data hygiene and project pipeline hygiene - every ticket’s status current, nothing overdue, and the Client Fulfillment Matrix accurate at a glance. (This is Notion hygiene.) MANAGER-LEVEL ACCOUNTABILITY * Hold yourself accountable - take ownership without reminders or oversight. * Hold the systems accountable - processes run reliably and consistently. * Hold others accountable within your lanes - support the team’s performance. * Success = minimal oversight. If leadership stepped away, Content Ops keeps running. HOW WE WORK TOGETHER (HOURS & AVAILABILITY) This is a fractional, hourly role built around output, leverage, and capacity - not billing hours. * Hours: ~15/week to start, scaling as the role grows. You’re measured by outcomes and reliability, not hours logged - output should steadily increase through better planning and ownership. * A set, consistent overlap window (to confirm together). A fixed daily schedule in your time zone that overlaps the ET workday - genuinely present and reachable throughout, not just checking in here and there. * Communication speed: urgent acknowledged within 15 minutes; routine replies within 1-2 hours while you’re online. Fast, clear confirmations - “on it today” / “I’ll handle it tomorrow” - keep the business moving. Nothing waits a full day for a response. * Meetings are part of the commitment. Sync meetings are set, not optional - show up on time, every time - and stay flexible for impromptu calls within reason. Calendar is priority - meeting changes go through a reschedule request or formal decline, never a quick Slack note. * Notion hygiene is a condition of the role, not a nice-to-have: your board up to date, your tasks done, nothing slipping.
