We have built a robust ecosystem that includes: • Online courses • Coaching programs • Community membership • Lead generation funnels • Email marketing • Social media content • Blog content • Live events • Consulting services We are seeking a highly organized, detail-oriented Operations & Growth Coordinator to become the operational backbone of our business. This is not a typical virtual assistant role. We are looking for someone who loves systems, workflows, automation, organization, and continuous improvement. The ideal candidate will eventually become a trusted operational partner responsible for ensuring the business runs smoothly while leadership focuses on content creation, teaching, growth, and client work. Position Overview You will oversee and coordinate the daily operational flow of our business across: • GoHighLevel • Email marketing • Content publishing • Social media operations • Customer support • Community management • Project management • Reporting and analytics Your role is to ensure that systems work, content gets published, customers receive support, and nothing falls through the cracks. Primary Responsibilities 1. Content Operations Coordinate and manage content production workflows. Responsibilities include: • Maintain content calendar • Coordinate publishing schedules • Organize content assets • Manage Google Drive folders • Upload and schedule content • Coordinate with editors and contractors • Track publishing deadlines • Monitor content performance Platforms include: • Instagram • Facebook • TikTok • YouTube • LinkedIn 2. GoHighLevel Operations Manage and support our GoHighLevel ecosystem. Responsibilities include: • Monitor workflows • Test automations • Troubleshoot issues • Maintain funnels • Update forms • Manage tags • Maintain calendars • QA customer journeys • Monitor lead capture processes You do not need to build every workflow from scratch, but you must understand how they function and be capable of troubleshooting and improving them. 3. Email Marketing Operations Support all email marketing activities. Responsibilities include: • Schedule email campaigns • Format newsletters • Build broadcasts • Segment audiences • Manage tagging systems • Track performance metrics • Monitor deliverability • Test automations 4. Customer Success & Support Provide excellent customer experience. Responsibilities include: • Respond to customer inquiries • Resolve login issues • Handle account questions • Manage support requests • Coordinate refunds when needed • Escalate complex issues Our goal is for leadership to spend very little time handling routine support requests. 5. Community Operations Support our online community. Responsibilities include: • Approve members • Moderate discussions • Monitor engagement • Support live events • Answer basic questions • Escalate member concerns 6. Project Management Coordinate projects across the organization. Responsibilities include: • Track deadlines • Manage task assignments • Follow up on deliverables • Document processes • Create SOPs • Improve workflows • Maintain project boards Preferred systems: • ClickUp • Asana • Trello • Monday.com 7. Reporting & Analytics Provide weekly visibility into business performance. Track and report: • Leads generated • Funnel conversions • Email metrics • Sales metrics • Social media growth • Community growth • Customer support trends You should enjoy turning data into actionable insights.
