Developer Brief: Wholesale Retailer Portal — Existing WooCommerce Site

Overview We want to add a trade/wholesale ordering portal to our existing WooCommerce site. This should allow approved comic book retailers to log in and purchase titles at trade pricing, fully separate from the regular B2C customer experience. All orders should flow through to our existing 3PL fulfilment integration. Objectives Enable approved retailers to order directly from us at wholesale prices Keep trade pricing completely hidden from regular customers Minimise disruption to the existing B2C store Gate access via a manual approval workflow Connect retailer orders to our existing 3PL integration Scope of Work 1. Wholesale User Role & Pricing Create a new WordPress user role: Wholesale Customer Wholesale pricing should be configured per product (as a fixed price or % discount off RRP — TBC) Wholesale prices must be invisible to unauthenticated users and standard customer accounts Wholesale users should see trade prices immediately upon login, across all applicable products 2. Retailer Registration & Approval Gate A separate registration page (distinct from the standard customer sign-up) collecting the following fields: Business / store name Trading name (if different) Physical store address Website URL or social media profile VAT number (optional) Primary contact name, email, phone number How they currently order (e.g. Diamond UK, direct, other) On submission: Retailer account is created but held in Pending Approval status Admin receives email notification of new application Admin can approve or reject from the WordPress dashboard On approval: user role is automatically set to Wholesale Customer; they receive a confirmation email with login instructions On rejection: optional rejection email to applicant 3. Wholesale Storefront Approved retailers access the store via standard login They see the same product catalogue as B2C but with wholesale prices displayed Minimum order quantity (MOQ) per product — optional, to be configured later Standard WooCommerce checkout flow (card payment required for first orders; net 30 terms to be added later as a separate phase) 4. 3PL Integration Retailer orders must pass through to our existing 3PL integration in the same way B2C orders do Please confirm compatibility with our current 3PL setup during scoping — we can provide integration details Order notes should indicate the order is from a wholesale account (for 3PL reference) Technical Requirements Built on our existing WordPress / WooCommerce installation (no separate site or account) Preferred plugin basis: Wholesale Suite or equivalent — please recommend your preferred approach with rationale Must not affect existing B2C customer experience, checkout flow, or pricing display Staging environment testing required before go-live Mobile responsive Out of Scope (Phase 1) Net 30 / invoice-based payment terms (future phase) Retailer-facing order history portal customisation Custom retailer pricing tiers (single tier only for now) Automated credit checks Information We'll Provide Access to staging/dev environment Current 3PL integration documentation Wholesale pricing structure (% discount or fixed prices per SKU) Branding/copy for registration page and email notifications Deliverables Scoping notes and plugin recommendation Staging build with all features above Admin documentation (how to approve/reject accounts, configure wholesale prices) Go-live deployment 30-day post-launch support window Questions for Quoting Please include in your quote response: Your recommended plugin approach and why Estimated timeline Any risks or conflicts with our existing setup you'd want to investigate before confirming scope Whether you'd need access to staging before providing a fixed-price quote
