ERP Product Lead with NetSuite Experience — Procurement & Inventory Platform

About the project Zimark is building a focused, AI-enabled mini ERP for procurement, vendor management, inventory, and equipment tracking. We are not implementing NetSuite. We want to create a simpler, purpose-built platform that gives us the operational control of an ERP without the cost, complexity, and rigidity of a traditional ERP implementation. We are looking for a senior product professional with hands-on experience in NetSuite or comparable ERP environments. You should understand how mature ERP systems handle procure-to-pay, inventory, approvals, auditability, integrations, and master data—and be able to translate that knowledge into a practical product designed around Zimark’s workflows. This is an individual contributor role. We are looking for a product expert who can become deeply familiar with our operations and work alongside management, operational users, finance stakeholders, designers, and developers throughout the build. The product scope The platform will cover: Purchase requests and approval workflows Vendor selection and onboarding Vendor documents and bank-detail controls Quotations, purchase orders, and advance payments Full and partial goods receipts Three-way matching between purchase orders, receipts, and invoices Inventory by SKU, warehouse, location, and status Available, reserved, allocated, and in-transit inventory Serial-number-controlled equipment Equipment installed at customer sites Equipment that remains owned by Zimark while located at a customer site Transfers, returns, repairs, replacements, reversals, and write-offs Stock counts and complete inventory transaction histories Role-based permissions, approval controls, and audit trails Operational reporting and natural-language queries AI-assisted document extraction, matching, anomaly detection, and workflow recommendations The platform will need to coexist and integrate with systems including HubSpot, Mesh, Notion, Navan, Dokka, email, document sources, and an external accounting system. What you will do You will own the product definition and help guide the platform from discovery through MVP delivery. Your responsibilities will include: Learn Zimark’s procurement, vendor, inventory, equipment, and finance-handover processes in depth. Map current workflows, pain points, exceptions, manual work, and operational risks. Design clear future-state workflows for purchasing, approvals, receiving, matching, inventory movements, and equipment assignment. Challenge and refine the initial requirements rather than simply documenting them. Define the MVP, later phases, priorities, dependencies, and product roadmap. Convert business requirements into detailed user stories, process rules, acceptance criteria, and test scenarios. Define the key data entities, relationships, statuses, state transitions, and sources of record. Design roles, permissions, approval thresholds, separation of duties, and audit requirements. Specify how partial deliveries, partial invoices, advance payments, returns, serial numbers, and other ERP edge cases should work. Help determine which information belongs in the core platform, Notion, or connected systems. Work with technical stakeholders on integration requirements, record matching, synchronization, error handling, duplicate prevention, and conflict resolution. Maintain and prioritize the development backlog. Review designs and product increments to ensure they reflect the intended workflows. Lead or support user acceptance testing and validate end-to-end scenarios. Help operational teams adopt the product and document the resulting processes. Ensure the product remains simple enough for non-technical users while maintaining strong operational controls. Initial deliverables During the discovery and definition phase, we expect you to produce: Current-state and future-state workflow maps A structured gap and risk analysis Recommended product scope and MVP definition Product requirements document Initial domain and data model Roles, permissions, and approval matrix Integration and source-of-record map Prioritized backlog with user stories and acceptance criteria Product roadmap and phased delivery plan End-to-end UAT scenarios Recommendations on where AI adds real operational value and where human approval must remain mandatory Required experience You should have: Significant experience as a Product Manager, Product Lead, ERP Business Analyst, ERP Solution Consultant, or similar. Hands-on experience with NetSuite implementations, integrations, customization, or solution design. Strong understanding of NetSuite’s underlying business processes—not merely administration or configuration. Deep knowledge of procure-to-pay workflows, including purchase requests, POs, receipts, vendor invoices, approvals, and three-way matching. Strong experience with inventory management, warehouse/location balances, inventory transactions, and serial-number-controlled items. Experience designing workflows involving customer-located or company-owned equipment. The ability to turn complex operational requirements into precise product specifications. Working knowledge of APIs, webhooks, data synchronization, master data, record identifiers, integration failures, and system-of-record decisions. Experience working directly with software development and UX/UI teams. Strong attention to exceptions, controls, audit trails, and real-world operational edge cases. Excellent written and spoken English. Strong advantages The following would be valuable: Experience replacing NetSuite or moving selected processes out of NetSuite into a custom platform. Experience designing a lightweight ERP, procurement platform, inventory system, or internal operations product. Familiarity with HubSpot, Dokka, Notion, Mesh, Navan, or Israeli accounting systems. Experience with AI-assisted document processing, OCR, matching, anomaly detection, or operational copilots. Experience with equipment installation, field operations, asset management, or customer-site inventory. Understanding of Israeli and international vendor operations. Hebrew language skills. Who will succeed in this role You are likely to be a strong fit if you can understand both the business and the software deeply. You should be comfortable discussing a vendor-approval workflow with an operations manager, three-way matching with finance, serial-number lifecycle rules with warehouse staff, and integration failure handling with developers. You should also be willing to make recommendations, identify missing requirements, and simplify processes where appropriate.
