Financial Operations & Billing Manager We are looking for a highly organized and detail-oriented Financial Operations & Billing Manager to take full ownership of invoicing, collections, and financial tracking across our portfolio of e-commerce clients. This person will review and combine monthly financial data from Amazon, Sellerboard, MerchantSpring, Shopify, TikTok Shop, and other platforms, confirm that all numbers are accurate, calculate the correct client charges, and manage the full billing process through QuickBooks. Main Responsibilities * Review and reconcile monthly profit across all sales channels. * Combine Amazon, Shopify, TikTok Shop, and other platform results into one accurate monthly total. * Calculate monthly profit-share amounts based on each client agreement. * Create and send invoices through QuickBooks. * Track invoice due dates, payment status, and outstanding balances. * Follow up with clients until payments are collected. * Manage additional invoices such as buying fees, deposits, partial payments, production balances, packaging, shipping, and milestone payments. * Maintain a billing calendar so no invoice or future payment is missed. * Review client agreements and identify upcoming billing obligations. * Resolve billing discrepancies and keep all financial records updated. * Provide regular reports on invoices sent, payments collected, overdue balances, and expected upcoming payments. * Help improve and automate the billing and collections process over time. Qualifications * Strong QuickBooks Online experience. * Background in accounting, bookkeeping, billing, accounts receivable, or financial operations. * Strong Excel or Google Sheets skills. * Experience reconciling financial data across multiple systems. * E-commerce experience is strongly preferred. * Familiarity with Amazon, Sellerboard, MerchantSpring, Shopify, or TikTok Shop is a major advantage. * Excellent attention to detail, organization, and follow-up. * Comfortable communicating with clients about invoices and overdue payments. * Able to work independently and take full responsibility for the billing process. The ideal candidate is proactive, accurate, and persistent. They should make sure every invoice is sent on time, every payment is followed up on, and nothing falls through the cracks.
