Ecommerce Operations & Logistics Coordinator — Full-Time Remote

ROLE OVERVIEW We are looking for a proactive, fast-moving Ecommerce Operations & Logistics Coordinator to help keep the daily operations of a growing ecommerce business running smoothly across Cyprus and Malta. This role is focused on daily order flow, dispatch coordination, courier and 3PL follow-up, customer support coordination, returns, inventory accuracy, and operational execution. This is not a slow admin role. We need someone responsive, practical, organized, and able to get things done quickly. COMMITMENT & AVAILABILITY * This is a LONG-TERM FREELANCE ROLE. * While this is a freelance position, the nature of the work requires you to be AVAILABLE DURING REGULAR BUSINESS HOURS. (GMT +3 timezone) * You must be actively reachable and responsive during the working day. * You will need to coordinate regularly with suppliers, warehouses, couriers, 3PL partners, and the internal team. * You must be comfortable picking up the phone when needed to solve urgent problems quickly. * We are looking for someone dependable who wants to become a long-term part of the business. COMPENSATION * Monthly compensation is in the range of 1,300 EUR to 1,600 EUR depending on experience and fit. * Performance bonuses may also be offered based on KPI. KEY RESPONSIBILITIES 1. OPERATIONS & FULFILMENT COORDINATION * Ensure daily orders for Cyprus and Malta are generated, checked, and sent to the correct 3PL providers and couriers on time. * Monitor daily dispatch flow and quickly resolve blocked, delayed, or missing orders. * Upload, check, and sync courier tracking details. * Keep SKU data, order files, and operational records organized and up to date. * Support basic warehouse and WMS-related workflows. * Coordinate with 3PLs, couriers, suppliers, and the internal team to solve operational issues quickly. 2. INVENTORY, LOGISTICS & RETURNS * Help ensure stock movements are recorded correctly across systems. * Track shipment progress and flag delays or discrepancies early. * Follow up persistently with external partners until issues are solved. * Coordinate returns and confirm returned items are tracked and checked by the warehouse. * Maintain clear receiving logs for inbound shipments. 3. ADMIN & EXECUTION SUPPORT * Work closely with Customer Support to handle urgent order changes before dispatch. * Process order cancellations, address changes, product swaps, and refund requests when needed. * Prepare and organize documents for container arrivals, customs clearance, and warehouse intake. * Help check packing lists, product quantities, and compliance documents where needed. * Take ownership of new operational tasks as the business grows and priorities shift. REQUIRED EXPERIENCE & SKILLS * Ecommerce experience: Strongly preferred. Experience with WooCommerce, Shopify, order management, inventory coordination, shipment tracking, or 3PL communication is a major plus. * Logistics experience: Experience with couriers, dispatch, warehouse coordination, shipment tracking, or returns is strongly preferred. * Systems and tools: Comfortable working with order management systems, WMS platforms, courier portals, spreadsheets, Slack, email, and WhatsApp. * Communication: Strong written and verbal English. * Phone confidence: Comfortable calling couriers, warehouses, suppliers, or service providers when needed to solve problems. * Greek language: Greek is a plus, especially for Cyprus-related coordination, but speed, reliability, and availability are more important. * Ownership mentality: You follow through, solve problems, and do not wait around to be chased. * Attention to detail: You notice missing information, inconsistencies, and small mistakes before they become bigger problems. * Adaptability: Comfortable working in a growing company where priorities can move quickly.
