AI-Enhanced Lead Generation and Management System Development Project Overview Travel Gurus is looking for an experienced web application developer or development team to rebuild and significantly enhance our existing custom Lead Generation and Management System. Our current system is integrated into our website and consists of: * A customer-facing travel booking inquiry form * An internal lead management dashboard * Automated lead distribution to travel agents * Internal notes and lead comments * Lead status tracking * Follow-up alerts and reminders * Basic lead analytics and reporting We are looking to develop a new, more advanced version of this system that is user-friendly, highly automated, easy for our staff to manage and enhanced with an AI-powered assistant designed specifically for travel agents. The successful developer will receive access to our current system and codebase. After reviewing the existing platform, they may recommend enhancing the current system or rebuilding it using a more scalable and maintainable framework. Main Project Objective The objective is to create a centralized lead management platform that helps our travel agents respond faster, manage leads more effectively, improve their follow-up process and increase overall lead conversion. Automation and AI will be central to the new system. The platform must also be easy for authorized Travel Gurus staff members to update and manage without requiring a developer every time a small change is needed. Customer-Facing Booking Form The front end of the system will be a travel inquiry and booking form available on our website. Customers will enter information such as: * Destination or destinations of interest * Preferred travel dates * Departure city * Number of travellers * Adults and children travelling * Type of vacation or travel experience * Preferred budget * Resort, hotel, cruise or tour preferences * Special requests * Contact information * Preferred method and time of contact * Preferred travel agent, when applicable Our staff must be able to easily update the booking form, including: * Adding or removing questions * Editing available selections * Changing required fields * Updating agent availability * Updating available consultation times * Adding new destinations, travel types or categories * Updating form wording and instructions * Creating conditional questions based on previous answers * Adjusting the appearance and layout of the form The form must be mobile-friendly, fast, secure and easy for customers to complete. Lead Distribution and Assignment Once a customer submits the form, the lead should automatically enter the internal dashboard and be assigned to an available travel agent. Lead assignment should be configurable based on factors such as: * Agent availability and working hours * Destination specialization * Type of travel inquiry * Preferred supplier knowledge * Language preference * Office location * Agent workload * Round-robin distribution * Customer-selected agent * Priority or urgency of the lead Administrators must be able to easily add, remove or temporarily deactivate agents and update their schedules, specialties and lead assignment settings. AI Travel Agent Assistant A major component of this project will be an integrated AI assistant that analyzes every new lead and provides practical, real-time advice to the assigned travel agent. The AI assistant should review all information submitted by the customer and provide insights such as: * Important qualifying questions the agent should ask * Destination information relevant to the requested travel dates * Seasonal considerations * Weather and climate considerations * Recommended booking timelines * Potential travel restrictions or entry requirements * Suitable resorts, hotels, cruises, tours or travel products * Possible alternatives when the customer’s request may not match their budget * Family, accessibility, honeymoon, group or special-interest considerations * Suggested ways to approach the customer * Recommended next steps * Follow-up suggestions * Possible upselling or value-added opportunities * Potential concerns or missing information within the inquiry The AI must be customized around Travel Gurus’ preferred suppliers, vendors and business priorities. For example, the AI should be able to recommend which preferred suppliers the agent should search first based on the destination, travel dates, type of vacation and customer requirements. Authorized staff must be able to manage and update: * Preferred supplier lists * Supplier priority levels * Destination-specific supplier recommendations * Company sales priorities * Current promotions * Preferred booking procedures * Internal sales guidelines * Follow-up standards * Agent scripts and best practices The AI should clearly identify when information is a recommendation rather than a confirmed fact. It should also encourage agents to verify live pricing, availability, supplier terms and current travel requirements before advising customers. AI Analysis of Agent Comments Agents will enter comments and updates throughout the life of the lead. The AI assistant should analyze these comments and provide useful feedback, including: * What the agent should do next * Suggested follow-up wording * Additional questions to ask * Whether the agent should provide different options * Whether the customer’s expectations should be reset * How the agent may improve the presentation of the quote * Whether the lead appears at risk of becoming inactive * Whether the agent should follow up by phone, email or text * Whether management attention may be required * Potential reasons why the customer has not responded * Recommendations based on the customer’s objections or feedback The AI should help the agent move the lead forward without replacing the agent’s professional judgment. Lead Status and Progress Management Agents must be able to update each lead through clearly defined stages, including: * Pending * In Progress * Follow Up Later * Successful * Failed Additional custom statuses may be required in the future. Every status update should require the agent to enter a comment explaining the latest activity or reason for the change. Office Monitoring Dashboard We currently display a lead dashboard on a monitor inside our office. The enhanced system should include a dedicated office display mode that clearly shows: * Pending leads * In-progress leads * Follow-ups due * Leads that have not been updated * Leads by agent * Agent response times * Successful leads * Failed leads * Monthly conversion rates * Total active leads * Leads requiring urgent attention The display should be easy to read from a distance and automatically refresh. We should be able to update the following without editing code: * Agents * Agent schedules * Agent availability * Agent specialties * Lead assignment rules * Lead status options * Reminder timing * Escalation rules * Email templates * Booking form questions * Booking form selections * Supplier information * Preferred supplier priorities * AI instructions * Promotions * Destination information * Office locations * User permissions * Dashboard settings * Reporting categories The administration area should be intuitive and include appropriate permission levels. User Roles and Permissions The system may require several user roles, including: Administrator Full access to system settings, users, automations, AI instructions, reporting and lead management. Manager Access to all leads, agent performance, reporting, reassignment tools and escalations. Travel Agent Access to assigned leads, comments, status updates, reminders and AI recommendations. Office Display Read-only access to selected lead statistics without displaying private customer information. Additional roles should be easy to create in the future.
