Estate Planning & Trust Funding Specialist – U.S. Law Firm or Banking Experience Required

Calling U.S. banks, brokerage firms, insurance companies, retirement-plan administrators, county offices, and other institutions Confirming institution-specific requirements for trust funding, account retitling, beneficiary updates, and document submission Requesting forms and written instructions from institutions Following up on pending submissions and rejected documents Communicating professionally with clients regarding missing administrative information Calling clients to confirm availability and coordinate scheduling for required in-person appointments, document signings, notarizations, institution visits, or other implementation requirements. Maintaining detailed call logs and file notes Updating case-management records and task lists Tracking deadlines, outstanding requirements, and next steps Preparing routine file-status updates Escalating legal, tax, ownership, or document-preparation questions rather than attempting to answer them. Following established workflows, scripts, checklists, and confidentiality requirements Required qualifications Applicants must have: Prior experience supporting U.S. legal or financial-services clients. Strong spoken and written English Confidence making professional telephone calls to U.S. institutions Excellent follow-up and documentation skills Experience handling confidential client and financial information Strong attention to detail Reliable internet service and a quiet professional workspace Availability to work at least four hours during U.S. Central Time business hours Ability to follow procedures without guessing or providing unauthorized legal advice Experience in one or more of the following is strongly preferred: Estate planning Probate or trust administration Title and escrow Mortgage processing or servicing Banking operations Insurance or beneficiary processing Financial-account administration Paralegal or legal-assistant work Case-management or CRM software Experience with Smokeball is helpful but not required. Schedule Approximately 20 hours per week to begin Four hours per day, Monday through Friday Work must overlap with U.S. Central Time business hours Initial contract term of three to six months Ongoing work and increased hours may be available based on performance and file volume Compensation Hourly compensation will be based on directly relevant experience. We are willing to pay a higher rate for someone who already understands U.S. legal, banking, title, mortgage, insurance, or estate-planning workflows and requires less basic training. Professional boundaries This position is administrative and operational. The contractor will not provide legal, tax, financial, or investment advice. Any question requiring professional judgment must be escalated.
