Hours: Part-time to start (20+ hrs/week), with potential for full-time Timezone: Must be available EST timezone business hours. Reports to: Founder/CEO About Us Sosani Studios is a talent management and influencer marketing agency. We represent social media creators and execute brand partnership campaigns for clients ranging from emerging DTC brands to enterprise companies. We are a small, fast-moving team and we are growing. The Role We need a sharp, proactive Executive Assistant to support the Founder directly. You will fully own your lanes - travel logistics, finance admin, inbox management, sales operations support, and HR coordination. You are not waiting to be told what to do. You find the gaps and close them. You will have access to sensitive financial, legal, and client information. Discretion is required. What You Will Own Finance and Payments - Create and send client invoices from approved templates - Distribute W9s, ACH forms, and payment confirmations after campaign completion - First point of contact for influencer payment questions - resolve with SOPs, escalate only exceptions - Compile financial documents for our accountant - Coordinate finance meetings (scheduling, agendas, prep) Travel and Logistics - Book all flights, AirBnBs, and rental cars (business and personal) - Research and coordinate VISA applications - Build and maintain full travel itineraries with all confirmation details Inbox and Communications - Triage the Founder's inbox daily - flag priorities, draft responses for review - Manage inbound leads in HubSpot CRM - Send follow-up sequences for non-responses in the sales pipeline Must-Haves - Available EST timezone business hours - Excellent written English - you will communicate on behalf of the Founder - Organized with a proven system for tracking tasks and follow-ups - Self-directed - you do not need to be managed, you need to be briefed - Comfortable in a fast-moving environment where priorities shift - Discreet with sensitive information Nice to Have (not required) - Prior EA experience supporting a founder or agency owner - HubSpot experience - Google Workspace (Gmail, Calendar, Drive) - Familiarity with influencer marketing or talent management
