Executive Assistant + Hiring Coordinator | Organized Problem Solver Needed for Fast Paced CEO

Summary

We are looking for a highly organized, proactive, resourceful Executive Assistant / Hiring Coordinator to support a fast paced entrepreneur and CEO with multiple businesses. This is not a passive assistant role. You will help support executive operations, organization, hiring coordination, scheduling, communication, and administrative workflows across a dynamic environment where priorities can shift quickly. A large portion of the workload will be handled by you, however, you will also have an assistant available to help support approximately 20% to 30% of operational tasks. We’re looking for someone who enjoys bringing structure to busy environments, thinks ahead, communicates clearly, and takes ownership. Schedule Monday through Friday: 10:00 AM to 6:00 PM - 45 min break Eastern Time Alternating Saturdays: 11:00 AM to 5:00 PM Eastern Time Responsibilities * Calendar management and scheduling * Managing reminders, deadlines, follow ups, and executive priorities * Hiring support including candidate screening, interview coordination, recruitment assistance, and job posting management * Coordinating tasks across team members * Keeping projects, documents, systems, and information organized * Supporting executive communication and administrative workflows * Tracking assignments and ensuring follow through * Helping solve problems and remove operational bottlenecks * Supporting day to day executive operations across multiple businesses Ideal Candidate You may be a strong fit if you are: * Extremely organized * Strong with follow through and accountability * Excellent communicator with strong English skills * Comfortable in fast paced, high accountability environments * Experienced with hiring, recruiting, HR coordination, or interviewing * Calm under pressure and adaptable to changing priorities * Proactive and solutions oriented * Tech savvy and quick to learn systems * Capable of thinking independently instead of waiting for instructions for every small task Preferred Experience Experience in some or all of the following is a plus: * Executive assistance * Hiring / recruitment / HR coordination * Calendar management * Remote team coordination * Google Workspace * Upwork recruiting or remote hiring * Administrative operations support Important We value reliability, responsiveness, organization, discretion, strong communication, and problem solving.
