Executive Assistant & Operations Coordinator (Remote, Part-Time) Location: Remote Hours: 5–8 hours per week to start, with the opportunity to grow as the company grows. About ORIMI ORIMI is a New York fine jewelry house rooted in Yoruba philosophy and Nigerian heritage. We create meaningful fine jewelry that represents identity, intention, and quiet power. As an early-stage luxury brand, every day is different. We’re looking for someone who thrives in a fast-paced startup environment, enjoys solving problems, and takes ownership of getting things done. This is an opportunity to work directly with the founder and play a meaningful role in helping build an emerging luxury brand. About the Role This is not a traditional assistant position. We’re looking for someone who enjoys bringing structure to a growing business, keeps projects moving, and takes initiative without needing constant direction. You should be someone who naturally asks, “What needs to happen next?” rather than waiting to be told. You will work closely with the founder to ensure projects stay on track, communications are followed up, and nothing falls through the cracks. Key Responsibilities Project & Operations Management * Manage and maintain ORIMI’s ClickUp workspace. * Create, organize, assign, and monitor tasks. * Ensure projects stay on schedule and deadlines are met. * Follow up with internal and external team members on outstanding actions. * Keep the founder updated on priorities, blockers, and overdue items. * Turn meeting discussions into clear action plans. Inbox & Administrative Support * Keep company inboxes organized and up to date. * Respond to routine emails where appropriate. * Flag high-priority messages requiring founder attention. * Organize files, documents, and business records. * Schedule meetings and coordinate calendars when needed. Influencer & PR Coordination * Follow up with influencers, talent managers, stylists, editors, showroom partners, and other business contacts. * Send professional follow-up emails and reminders. * Maintain outreach trackers and ensure conversations continue moving forward. * Help coordinate ongoing partnership opportunities. Business Support * Conduct online research. * Prepare simple documents, spreadsheets, and presentations. * Help improve business processes and organization. * Take ownership of new tasks as priorities change. * Look for opportunities to make the business run more efficiently. Required Skills & Experience We’re looking for someone who has: * Strong hands-on experience with ClickUp (required). You should already know how to build, organize, and manage projects within ClickUp. * Previous experience supporting a founder, executive, or startup business. * Excellent written and verbal English communication skills. * Strong organizational skills and exceptional attention to detail. * Experience managing professional inboxes and coordinating communications. * Confidence following up professionally with partners, influencers, stylists, agencies, and vendors. * Excellent time management skills with the ability to manage multiple priorities. * The ability to work independently and solve problems without constant supervision. * High levels of professionalism, reliability, and accountability. * Proficiency with Google Workspace (Google Docs, Sheets, Drive, and Calendar). Availability The successful candidate should: * Be available to attend team meetings between 8:00 PM and 10:00 PM Eastern Time on most weekdays. * Be available to answer questions or provide support on weekends when needed. * Respond promptly during agreed working hours. Nice to Have Experience with: * Shopify * Klaviyo * Canva * Luxury, fashion, jewelry, or lifestyle brands * Influencer outreach or PR coordination * Social media operations What Success Looks Like Within your first three months, you will have: * Built and maintained a well-organized ClickUp workspace that gives visibility across all company projects. * Kept company inboxes clean, organized, and up to date. * Ensured timely follow-ups with influencers, stylists, agencies, editors, and business partners. * Helped create systems that improve efficiency across the business. * Become a trusted partner who helps keep ORIMI moving forward every day.
