THE ROLE This is a dual-function role that sits at the intersection of client experience and executive operations. As Relationship Manager, you’ll support our advisors and strategists by attending client meetings, keeping every action item tracked and moving, and serving as a primary point of contact for our clients. As Executive Assistant to Noah Rosenfarb, one of our founders, you’ll own his inbox, calendar, and the full task landscape that flows through his world. This role is client-facing from day one. You’ll represent the firm with sophistication and care, which means your communication, follow-through, and task ownership need to be excellent across the board. WHAT YOU’LL DO Relationship Manager • Attend client meetings alongside advisors and strategists, capturing notes, decisions, and action items in real time. • Own the action item log from every meeting: assign owners, set due dates, record everything in our CRM, and follow up until each item is closed. Nothing leaves a meeting without a clear next step and a name attached to it. • Serve as a secondary point of contact for clients on scheduling, status updates, and general coordination, escalating anything substantive to the advisor or strategist on the account. • Maintain CRM hygiene across all client records: accurate data entry, up-to-date task tracking, and clean pipeline stages. • Identify opportunities to use AI tools to improve how the team prepares for, runs, and follows up on client meetings. Executive Assistant to Noah Rosenfarb • Own Noah’s inbox: triage daily, flag what needs his attention, draft responses, and keep the queue from backing up. • Manage his calendar with precision: schedule meetings, protect focus time, resolve conflicts before they become problems, and make sure he’s always prepared for what’s next. • Handle ad hoc projects and requests assigned by Noah or delegated on his behalf by the team with diligence and timeliness. • Actively look for ways to use AI tools to save Noah time, whether that’s drafting communications faster, summarizing information, or eliminating repetitive tasks. WHAT WE’RE LOOKING FOR • 1–3 years of experience in an EA, coordinator, or client-facing support role, ideally in financial services, consulting, or professional services. • Exceptional written and verbal communication in English. You’ll be corresponding with high-net-worth clients and representing the founder externally. • A proven system for managing tasks and action items across multiple people and workstreams. You track everything, you follow up without being asked, and things do not fall through the cracks on your watch. • Strong organizational skills and the ability to juggle competing priorities without losing detail or urgency. • Proficiency in HubSpot or a similar CRM for data entry and task tracking (we’ll train you on our specific setup). • Comfortable with Microsoft Office Suite. • A genuine curiosity about AI and emerging tools. You don’t need to be a developer, but you should be the kind of person who naturally reaches for technology to solve problems faster and is excited to figure out how AI can make our advisors, strategists, and clients’ experience better. • Discretion with sensitive information, both client and executive. • Available 9am – 6pm ET on US business days with a quiet workspace, fast internet, and two monitors/screens.
