Executive Assistant & Operations Coordinator (Coffee Shop Launch) MASSA Coffee & Sandwich Shop | Williamsburg, Brooklyn We are seeking a highly organized, proactive, and resourceful Virtual Executive Assistant & Operations Coordinator to support the opening of MASSA, a new specialty coffee, sandwich, and cultural space opening in Williamsburg, Brooklyn this July. This is an ideal opportunity for someone who enjoys startups, hospitality, operations, and helping bring new projects to life. You will work directly with the founder to help coordinate the many moving pieces involved in launching a new business. Responsibilities * Calendar and schedule management * Coordinate team onboarding and employee paperwork * Assist with hiring, training schedules, and HR administration * Communicate with vendors, suppliers, and service providers * Track project timelines and opening milestones * Organize documents, contracts, and operational files * Assist with inventory ordering and vendor follow-up * Coordinate meetings and manage communications * Support day-to-day business operations leading up to opening Qualifications * Experience as an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role * Strong organizational and project management skills * Excellent written and verbal communication * Comfortable working independently and solving problems * Experience with Google Workspace, Notion, Monday.com, Asana, or similar tools preferred * Hospitality, restaurant, coffee shop, or startup experience is a plus Project Details * Remote position * Flexible hours * Approximately 10–20 hours per week * Immediate start * Project runs through opening in July, with potential for ongoing support If you enjoy building systems, organizing teams, and helping launch exciting projects, we’d love to hear from you.
