Executive Assistant to the CEO Our CEO runs a globally distributed school serving families in 50+ countries and the operational surface area that comes with that is vast. We're looking for an Executive Assistant who loves to keep things organised, and actively makes her more effective. Someone who's constantly figuring out how to use AI to do the work of 3-110 people and is excited to bring that to a role at the frontier of education. 🌟 What is bina? bina is a globally distributed, fully synchronous digital school serving families in 50+ countries. 💼 What does bina’s Executive Assistant do? You'll work directly with our CEO on automating her processes, keeping track of business relationships, supporting day-to-day tasks, and maintain the machine running smoothly across a speedy, globally distributed team. The best version of this role is someone who thinks two steps ahead, flags risks before they become problems, is deeply trustworthy and brings genuine leverage, beyond execution. This is a fully remote role with deep visibility and real impact from day one. Key Responsibilities - Track and close the loop on action items, decisions, and open threads so nothing falls through the cracks - Prepare briefing docs, agendas, and follow-up summaries for internal and external meetings - Use AI tools proactively to synthesise information, draft content, and automate repetitive workflows - Take on strategic one-off projects as the CEO's right hand research, analysis, or coordination that requires judgment and speed - Maintain pristine communication channels, ensure that everyone feels seen, heard, and known, that what's important surfaces and what's urgent is taken care of. ✅ You’ll be a great fit if you have… Must-haves - High EQ and discretion; you handle sensitive information and relationships with maturity - Demonstrable AI fluency; you use AI tools daily, you know their limits, and you’ve genuinely changed how you work because of them. You are constantly learning in monitoring this field. - Startup experience; you’ve worked in fast-moving, ambiguous environments and thrived - Exceptional written communication; clear, warm, and precise; you could write a difficult email on someone else’s behalf and they’d say “yes, exactly” - You get your kick from strategically making lists, executing on them and guarding interests. - Proactive, self-directed, and organised; you don’t wait to be told what to do next Nice-to-haves - German language proficiency preferred - Prior EA, Chief of Staff, or Operations role supporting a founder or C-suite executive - Familiarity with tools like Notion, Slack, Google Workspace, Calendly, Close, Hubspot, etc. - Background or genuine interest in education or EdTech How to apply: Create a loom video (https://www.loom.com/) to talk about the following: - Why do you think you are a good fit for this role? - What was the highest impact you've made to the business/team that you've delivered?
