Job Summary: We are seeking a dedicated and trustworthy Executive Assistant to provide efficient administrative support to a busy business professional. You will work remotely, making independent decisions, conducting research, and problem-solving. This is a flexible position, offering an excellent opportunity for a college-educated individual seeking to join a dynamic and growing team. Responsibilities: Virtual Meetings: Set up calendar events, virtual meetings, video conferences, and webinars using platforms such as MS Teams, Zoom, and other communication tools, troubleshooting technical issues when necessary. MS Office Proficiency: Demonstrate proficiency in using MS Excel and PowerPoint to create and edit spreadsheets, presentations, and reports. Screenshot tools and photo management included. Digital Marketing and Social Media: comfortable sourcing data from FB, Instagram and more. Monitor campaigns. Manage email list of graphic ads to our customer base on a weekly basis. Track results of your efforts. Work with our graphic designer on staff for delivery VOIP Communication: Utilize the Grasshopper VOIP system to make and receive phone calls with voice ability to the USA. Calendar Management: Coordinate and manage schedule, including arranging appointments and meetings. Communication: Serve as the primary point of contact for both internal and external communications, handling emails, IM’s, texts, phone calls, and other correspondence with professionalism and efficiency. Check in once a day during biz week Data & Spreadsheet Organization: Organize and maintain high volumes of digital files, documents, and databases to ensure quick and easy access to essential information. Use AI for approved projects to get stuff done Research and Analysis, and Independent Problem Solving: Conduct thorough research on various topics and provide well-organized reports, presentations, and briefings to aid decision-making processes. Exhibit a proactive and resourceful approach to address challenges, solve problems, and find solutions independently. Project Coordination: Support the executive in managing and tracking projects, ensuring timely completion and adherence to deadlines. Projects often include software tools being researched, purchased and integrated into our ecosystem. Weekly Management Report (WMR): Prepare a comprehensive WMR each Friday afternoon, outlining accomplishments from the past week and detailing deliverables for the upcoming week. Flexibility and Adaptability as we all learn together. Qualifications: College Education: Bachelor's degree is mandatory. Relevant work experience will also be considered. Proven Experience: Previous experience in an administrative or executive support role is a plus, but not required. Esp in real estate or digital marketing. Trustworthiness – and Excellent Communication Skills: Strong verbal and written communication skills in English are essential. A no excuses approach. Technological Proficiency: Comfortable with various software applications, including Microsoft Office (Word, Excel, PowerPoint), MS Teams, Zoom, and other communication tools. Organizational Skills: Strong organizational abilities to manage multiple tasks and deadlines efficiently. Time Management and Deadlines: Effective time management skills to prioritize tasks and meet deadlines. Measure you KPI’s to report back each week. Problem-Solving: Demonstrates a proactive and resourceful mindset to independently address challenges and find solutions. Reliable Internet Connection: A stable internet connection to support remote work responsibilities; and a back up plan like a coffee shop nearby
