Executive Assistant We are seeking a highly organized, proactive, and resourceful Executive Assistant to support senior leadership with day-to-day operations, communication, scheduling, project coordination, and administrative execution and bookkeeping support. This role is ideal for someone who thrives in a fast-moving environment, can anticipate needs before they arise, and enjoys helping leaders stay focused, prepared, and organized. The Executive Assistant will serve as a trusted partner, helping manage priorities, streamline communication, and ensure important tasks move forward efficiently. Key Responsibilities Manage executive calendars, including scheduling meetings, coordinating appointments, and helping prioritize time based on business needs. Prepare leaders for meetings by organizing agendas, notes, materials, follow-up items, and relevant background information. Draft, review, and manage emails, communications, presentations, documents, and other correspondence on behalf of leadership. Track projects, deadlines, pending items, and follow-up tasks to ensure nothing falls through the cracks. Coordinate internal and external meetings, including calendar invitations, reminders, meeting links, logistics, and post-meeting follow-up. Serve as a point of contact between executives, team members, clients, partners, vendors, and outside stakeholders. Assist with travel planning, event coordination, reservations, itineraries, and logistics as needed. Organize and maintain files, documents, contracts, reports, and confidential company information. Support special projects, business initiatives, research assignments, and operational improvements. Help improve systems, workflows, and processes to create better organization and efficiency across the business. Bookkeeping experience with quickbooks is ideal Handle sensitive information with discretion, professionalism, and confidentiality. Qualifications Prior experience as an Executive Assistant, Administrative Assistant, Office Manager, Operations Coordinator, or similar support role. Excellent organization, time management, and follow-through. Strong written and verbal communication skills. Ability to manage multiple priorities and shift quickly when needs change. High attention to detail and strong problem-solving skills. Comfortable working independently and taking initiative. Professional, polished, and able to communicate confidently with internal and external stakeholders. Strong technology skills, including comfort with Google Workspace, Microsoft Office, calendar tools, project management platforms, CRM systems, and communication tools. Ability to maintain confidentiality and exercise good judgment. Ideal Candidate The ideal candidate is dependable, proactive, calm under pressure, and highly detail-oriented. They do not wait to be told every next step — they anticipate needs, organize priorities, and help create order. They are comfortable supporting an executive who moves quickly and needs someone who can keep things organized, professional, and on track. Preferred Skills Experience supporting CEOs, founders, executives, or business owners. Experience in a remote, hybrid, or fast-growth company environment. Familiarity with tools such as Google Workspace, Slack, Zoom, Microsoft Office, Pipedrive, Monday.com, Asana, ClickUp, Notion, or similar platforms. Comfort assisting with light marketing, social media coordination, recruiting support, client communication, or business development follow-up. Compensation Compensation will be based on experience, skill level, availability, and scope of responsibilities. Schedule Full-time or part-time options may be considered depending on candidate experience and company needs.
