Executive Business Partner / Chief of Staff to Founder (Creative Agency)

We're looking for an Executive Business Partner to work directly with the Founder & CEO of a creative agency. Your primary responsibility is helping the founder think clearly, make decisions faster, and keep the business focused on the highest-impact work. Every day, you'll receive voice notes, meeting debriefs, ideas, client conversations, and strategic questions. Your job is to synthesize the information into clear decisions, priorities, action items, and accountability. Think of yourself as a second brain. Responsibilities • Attend virtual meetings when needed and capture strategic notes. • Turn founder brain dumps into organized plans. • Distill conversations into decisions, action items, and next steps. • Keep weekly priorities aligned with quarterly goals. • Push back when priorities become scattered. • Build agendas for meetings. • Produce meeting debriefs and executive summaries. • Track follow-ups and ensure commitments are completed. • Help maintain our operating cadence. • Coordinate with our VP of Operations and project managers. • Improve SOPs and internal workflows as we grow. You Are • Highly organized without being bureaucratic. • Comfortable working directly with founders. • Able to identify the signal through the noise. • Excellent at synthesis and prioritization. • Comfortable saying, "That's not the priority right now." • An exceptional written communicator. • Comfortable using AI tools to accelerate your work. • Proactive rather than reactive. Nice to Have • Experience as a Chief of Staff, Executive Business Partner, Executive Producer, Operations Manager, or Fractional COO. • Startup, agency, consulting, or production company experience. • Familiarity with ClickUp, Google Workspace, Notion, Claude, Slack, and ChatGPT. Success Looks Like At the end of every conversation, you can confidently answer: • What decisions were made? • What are the next three priorities? • Who owns each task? • What should we ignore for now? • What is blocking progress?
