Summary

We are looking for a highly organized Executive & Operations Assistant to support a founder-led international wine business operating across Asia and Europe. This is NOT a social media or content creation role. We are looking for someone operationally reliable, detail-oriented, proactive and calm under pressure — someone who can help reduce operational chaos and create structure around a fast-moving international business. Main responsibilities may include: - Managing and organizing Aspire receipts/expenses - Supporting accounting preparation and monthly expense reconciliationCalendar and schedule management Experience with expense tracking, bookkeeping support or finance/admin coordination is a strong plus. Travel coordination and bookings Follow-ups and reminders Email coordination Organizing invoices, receipts and operational/admin documents Supporting CRM and operational tracking Assisting with logistics/sample shipment coordination Helping maintain operational structure and accountability Supporting communication with wineries, importers and partners when needed The business operates internationally, so strong written English and excellent organizational skills are very important. Experience with any of the following is a strong plus: Executive assistance Operations coordination CRM systems International logistics/export coordination Expense tracking/bookkeeping support Google Workspace Startup/founder support environments We care much more about: reliability attention to detail responsiveness follow-through organization than creativity or social media skills. Initial workload will likely be around 15–20 hours/week with potential to grow over time if the fit is strong.
