Summary

We’re looking for a part-time Executive Operations Assistant to support two busy co-founders across their multiple calendars that span several initiatives, tasks, admin, email triage, expense record keeping, proactive financial and legal date deadline reminers, and occasional out-of-work logistics (that can get in the way of work). Importantly we aren't just looking for someone who's experienced - we're looking for someone who can create and operate autonomously and self sufficiently. This is not a basic VA/data-entry role. We need someone highly organized, discreet, proactive, and able to work independently. The goal is to help us reduce open loops, stay on top of commitments, and gradually take recurring operational work off our plate. Responsibilities include: Coordinating calendars and scheduling meetings across time zones Managing a shared task tracker and following up on open items - ensuring critical things are getting done. Preparing timely summaries of priorities, decisions needed, and waiting-on items Light email triage and drafting replies for review Helping with invoices, expenses, accountant/vendor communication, and admin tasks, including occasionally finding and sorting vendors Coordinating service providers and household/personal logistics Documenting recurring processes and learning our preferences over time We are especially looking for someone who can create systems, ask smart questions, follow through reliably, and build a repeatable runbook for their work. Requirements: Excellent written English Prior EA, founder support, operations assistant, or personal assistant experience Strong calendar and task management skills Comfort supporting two people with competing priorities High discretion; willing to sign an NDA and contractor agreement At least 4 hours of overlap with US Eastern Time Familiarity with Google Workspace, Microsoft Outlook/Office, Zoom, Slack, and task ideally like Notion, Asana, Jira, Linear, etc. Ideally open to a paid trial period.
