Job Description: THIS ROLE REQUIRES CONVERSATIONAL LEVEL ENGLISH. We are seeking an experienced, highly organized, and customer-focused Project Coordinator to support our restoration / plumbing operations team. This role serves as a critical link between clients, project managers, insurance professionals, subcontractors, and internal team members to ensure projects move efficiently from initial loss through completion. The ideal candidate has at least 3 years of experience in construction, restoration, home services, property management, insurance, or other service-based industries, and thrives in a fast-paced environment where attention to detail, communication, and organization are essential. We’re looking for an experienced Remote Project Coordinator / Estimator with a strong background in property damage restoration and insurance claims (P&C). This is not an entry-level role. You must understand how restoration jobs flow—from first notice of loss to final invoice—and be comfortable working directly with Xactimate, adjusters, and clients. You’ll be a key part of our team, helping us move jobs forward efficiently and proactively while delivering a professional, organized experience for our clients. Key Responsibilities Project Coordination -Support Project Managers throughout the lifecycle of restoration projects. -Create and maintain accurate project files and documentation. -Track project progress and ensure required milestones are completed. -Coordinate scheduling of inspections, mitigation services, subcontractors, and reconstruction activities. -Monitor job status and communicate updates to clients and stakeholders. Client Communication -Serve as a primary point of contact for homeowners, property managers, and commercial clients. -Provide regular project updates and respond to client inquiries promptly. -Help guide clients through the restoration process with professionalism and empathy. -Maintain high levels of customer satisfaction through proactive communication. Administrative & Documentation Support -Maintain accurate electronic and physical project files. -Assist with estimating and insurance documentation workflows. -Review files for completeness and compliance with company standards. -Upload and organize photos, reports, invoices, and supporting documentation. -Track outstanding information needed from clients, vendors, or insurance carriers. Scheduling & Logistics -Coordinate technician, project manager, and subcontractor schedules. -Assist with dispatching crews and equipment. -Monitor project timelines and identify potential delays. -Support emergency service response coordination as needed. Team Collaboration -Work closely with Project Managers, Estimators, Technicians, and Administrative staff. -Participate in team meetings and operational planning discussions. -Help identify opportunities to improve workflows and operational efficiency. -Support company initiatives designed to improve the client experience. Nice to Have: -Experience with CRMs such as DASH, Encircle, or similar. -Prior experience in collections / AR follow-ups. -Experience working with U.S.-based restoration / construction companies What We’re Looking For: We value people who take ownership, communicate well, and stay composed under pressure.
