Job Title Experienced Virtual Assistant for Construction Supervisors (Part‑Time, Daily Availability) About Us We are a growing construction contracting business supporting multiple site supervisors across SEQ. Our supervisors are busy on site and need a reliable, detail‑oriented Virtual Assistant to handle admin, communication, and data entry so they can focus on delivery and safety on site. Role Overview We are looking for an experienced Virtual Assistant who is comfortable working with construction/site teams and can be available every business day for a few hours (part‑time overall, but consistent daily touch points). You will mainly liaise with our supervisors via Microsoft Teams and handle data entry and basic reporting into our internal systems. This role is ideal for someone who is organised, proactive, and confident chasing up information from busy supervisors in a professional manner. Key Responsibilities Communicate daily with our supervisors via Microsoft Teams (chat and calls) to collect updates, panel movements, schedule adjustments, extra charges, photos, and job information. Perform accurate data entry and liaise with estimators, scheduler, and/or project management systems (e.g. job status, deliveries, site notes, timesheets). Maintain and update simple trackers and reports (daily/weekly) for management review. Follow up with supervisors on missing information, clarifications, and deadlines in a polite but persistent way. Organise and file digital documents, photos, and site records in the correct folders or checklists. Assist with other basic admin tasks as required (e.g. preparing simple summaries, copy‑pasting information between systems). Requirements Proven experience as a Virtual Assistant or administrative assistant (please share specific examples of similar roles, ideally supporting field teams, construction, trades, or logistics). Strong written and spoken English – you must be comfortable communicating directly with supervisors. Confident using Microsoft Teams, office 365 and CRM and highly tech savy. High level of accuracy and attention to detail in data entry. Reliable daily availability, Monday to Friday, with hours overlapping Brisbane (AEST) business hours for check‑ins and follow‑ups. Ability to work independently, manage priorities, and follow clear processes. Stable internet connection and a quiet working environment. Nice to have (not essential): Experience working with construction companies, building materials suppliers, or field service teams. Familiarity with basic project management or CRM tools.
