Freelance QuickBooks Online (Advanced) Cleanup & Automation Specialist Nonprofit Experience Required | Project-Based | Remote Project Overview This project will focus on cleaning up and modernizing our QuickBooks Online environment by: • Standardizing vendor records and categories for future use • Automating PayPal and American Express transaction mapping • Reviewing connected accounts and making recommendations to streamline workflows and reduce manual work The objective is to ensure QBO is accurate, efficient, and scalable going forward. Scope of Work The selected freelancer will: • Review and clean existing vendor records (duplicates, outdated entries, inconsistencies) • Clean up the Chart of Accounts • Update and implement a clear, future-facing vendor category structure • Map vendors to updated categories • Analyze PayPal and Amex transaction imports and descriptors • Create, test, and refine advanced bank rules for vendor assignment, expense categorization, and fees/refunds/transfers • Assist with connecting accounts as needed and validate proper data flow • Review existing QBO integrations and account connections • Make recommendations to streamline accounting workflows, automation, and reporting • Conduct testing and spot checks to confirm accuracy • Provide brief documentation and guidance for maintaining rules and processes going forward Estimated Time & Duration Estimated effort: 25–35 hours Timeline: Approximately 2–3 weeks (dependent on review and feedback cycles) This project is forward-looking and does not include a full historical reclassification just 2026 transactions (3 weeks worth). Required Qualifications • Advanced QuickBooks Online experience • Demonstrated nonprofit accounting experience • Proven vendor cleanup and category design experience • Strong experience creating and managing bank rules, especially for PayPal and Amex • Experience with QBO integrations and connected accounts • Ability to assess current setups and make practical improvement recommendations Preferred Qualifications • Experience supporting advocacy, legal, or mission-driven organizations • Familiarity with nonprofit reporting and audit-readiness best practices
