Summary The Medical Receptionist and Scheduler is responsible for performing front desk duties, managing patient appointments, and ensuring the smooth flow of operations in a medical facility. This role requires excellent organizational skills, strong communication abilities, and a professional and empathetic demeanor when interacting with patients. Key Responsibilities: Patient Reception and Communication: Answer phone calls, respond to inquiries, and provide accurate information to patients regarding appointments, services, and general queries. Communicate effectively and professionally with patients, medical staff, and other team members. Appointment Scheduling and Management: Schedule patient appointments, procedures, and consultations, ensuring efficient use of medical practitioners' time and optimal patient flow. Coordinate and reschedule appointments as necessary, considering urgency, availability, and patient preferences. Maintain the appointment calendar, update patient records, and document appointment-related information accurately. Administrative Tasks: Verify patient demographics, insurance information, and medical history during check-in and update electronic health records (EHR) systems. Collect and process patient payments, handle billing inquiries, and maintain financial records accurately. Manage patient paperwork, including consent forms, insurance claims, and other relevant documents. Office Coordination: Maintain a clean and organized reception area, ensuring adequate supply of forms, brochures, and other patient-related materials. Collaborate with medical staff and other team members to address any administrative or operational issues affecting patient care and scheduling. Assist with administrative tasks such as filing, data entry, and maintaining office supplies inventory. Confidentiality and Compliance: Adhere to patient confidentiality and privacy regulations, such as HIPAA (Health Insurance Portability and Accountability Act), in handling sensitive patient information. Follow established protocols and procedures to ensure compliance with medical office policies and regulatory requirements. Maintain knowledge of medical terminology, clinic services, and insurance coverage to provide accurate information to patients.
