Contador(a) / accounting firm with active CRC registration — ongoing monthly engagement We are a Danish technology company (AllUnite A/S, Copenhagen) with a wholly-owned Brazilian subsidiary. We are replacing our current local accounting provider and are looking for a Brazil-based accountant or small accounting firm to take over full-cycle bookkeeping, statutory accounting and tax compliance for the entity. The work itself is straightforward — the entity is small and low-volume. What matters to us is how the work is done. Our current arrangement fails on two points, and these are the two things we are actually hiring to fix: 1. We have no direct access to our own books. Every report has to be requested by email and can take days or weeks to arrive. We need a cloud accounting system where our CFO in Copenhagen holds her own login with permanent read access to the ledger, at any time, without asking anyone. 2. Corrections disappear into a black box - When we identify an error and request a revision, we get no confirmation of what was changed, when, or whether it was done at all. We need every query and correction tracked in a shared log with a visible status and a traceable journal entry reference. If you work in a closed desktop system that only you can see, or if your process for handling client questions is "email me and I'll look into it," this engagement will not be a good fit. If you work in the open and are comfortable with a client who reads the trial balance line by line, please apply. ### Scope of work — monthly Bookkeeping - Post all transactions to the general ledger under Brazilian GAAP (CPC / ITG 1000 as applicable) - Bank reconciliations for all accounts, with unreconciled items listed and explained - Accounts payable and receivable maintenance and aging - Contractor and service-provider payments (PJ), including correct treatment of withholdings (IRRF, CSRF, INSS where applicable) - Fixed asset register and depreciation - Accruals, prepayments and period-end adjustments - Intercompany balances and transactions with the Danish parent, reconciled monthly to the parent's records - Maintain the chart of accounts, mapped to our group chart of accounts Tax and statutory compliance - Calculation, DARF/guia preparation and filing of all applicable federal, state and municipal taxes (IRPJ, CSLL, PIS/COFINS, ISS, withholding taxes on service invoices) - All periodic obligations applicable to the entity: DCTFWeb, EFD-Contribuições, EFD-Reinf, eSocial, and any others triggered by our activity - Annual SPED filings: ECD (Escrituração Contábil Digital) and ECF (Escrituração Contábil Fiscal) - NFS-e issuance support and municipal compliance - Central Bank of Brazil obligations relating to foreign direct investment (RDE-IED / SCE-IED registration and periodic economic-financial declarations) - Flag any transfer pricing documentation requirements arising from intercompany charges with the parent (Law 14,596/2023) - Confirm and advise on the entity's tax regime (note: as a foreign-owned company we are not eligible for Simples Nacional — we expect Lucro Presumido or Lucro Real, and we would like your view on which is optimal) -No payroll: the entity currently has no employees. We do not need payroll processing, but we do need the "sem movimento" obligations handled correctly and on time (eSocial and DCTFWeb without movement, and any other dormant-status filings), and we need you to confirm in each monthly report that they have been filed. Please also confirm whether any pró-labore obligation arises for the entity's administrator under our current structure. Reporting to the parent Delivered by the 7th business day of each month, in English (Portuguese source documents are fine as backup): - Trial balance (balancete) at account level, in BRL, with English account descriptions - Balance sheet (Balanço Patrimonial) and income statement (DRE), current month and year to date - General ledger detail (razão) in Excel or CSV, exportable by us on demand - Bank reconciliation statements - AP/AR aging - Tax calculation summary with supporting memos - Copies of all guias/DARFs paid and all filing receipts (recibos de entrega) ### Access and transparency requirements — please read before applying These are non-negotiable and we will screen for them: - Cloud accounting system with a named login for our CFO, read access to the full ledger, permanent, no request needed. Tell us which system you use (e.g. Omie, Conta Azul, Nibo, Domínio Web, or similar) and confirm that external client users are supported. If you use a desktop-only system, tell us how you would solve this. - Shared query and correction log. Every question we raise and every correction we request is tracked in a shared tracker (we use ClickUp; a shared Google Sheet is also acceptable) with: date raised, description, status, date resolved, and the journal entry number of the correcting entry. - Corrections posted as identifiable adjusting entries, not silent overwrites of prior postings. When a closed period is reopened and restated, we want a change log and a reissued trial balance. - Response SLA: acknowledgement of any query within 2 business days; resolution or a dated plan within 5 business days. - Period lock after sign-off. Once we approve a month, it is closed and not altered without notifying us first. - Monthly video call (30 minutes) to walk through the close. ### Transition / one-off project Separately from the recurring engagement, we need a transition and clean-up phase, which we will scope and price as its own milestone: - Obtain access from the outgoing provider: prior-year SPED files (ECD/ECF), full historical general ledger, working papers, fixed asset register, tax filing history and payment proofs - e-CNPJ digital certificate handling and electronic power of attorney (procuração eletrônica e-CAC), plus municipal and state portal access - Diagnostic review of opening balances. We have found recurring errors in the historical books and want an independent assessment of what needs correcting before we build on them. A written findings memo is the deliverable. - Set up the chart of accounts mapping to our group structure Please quote this phase separately with your estimated hours. ### Required qualifications - Active CRC registration (individual contador or CRC-registered firm) — please state your CRC number in your proposal - Demonstrated experience with foreign-owned Brazilian subsidiaries (Ltda) reporting to a non-Brazilian parent - Professional working English, written and spoken. Our CFO does not speak Portuguese; all communication with the parent is in English - Comfortable working in a cloud system with the client inside it - Service-sector / technology client experience (ISS, service withholdings) ### Nice to have - Experience supporting group audits or IFRS conversion adjustments for consolidation - Experience with Brazilian transfer pricing under the new OECD-aligned rules - Prior work with Scandinavian or European parent companies - We are open to both individual professionals and small firms ### What to include in your proposal Applications that do not address these will not be reviewed: 1. Your CRC number and years in practice 2. Which accounting system you would use, and confirmation that our CFO gets her own read-access login 3. How you currently handle client-raised corrections — describe your actual process, in concrete terms 4. Two examples of foreign-owned Brazilian entities you support (no client names needed — sector, size, parent country, and what you deliver monthly) 5. A sample monthly reporting package (redacted) so we can see the format 6. Your monthly fee, and your separate quote for the transition and opening-balance diagnostic 7. Confirmation of your English proficiency and your availability for a monthly call in CET timezone
