Summary

We're a fast-growing insurance agency, real estate portfolio, and finance-education brand looking for a sharp, reliable full-time assistant to run our back office. This is a high-trust, long-term role for someone obsessed with detail who follows through without being chased. You'll report directly to the owner. WHAT YOU'LL DO - Recruiting: Source closers and openers on job boards, follow up with candidates by phone, keep the pipeline warm, and schedule interviews with our team or the owner. - Bookkeeping & reconciliation: Pull commission and bank statements every morning, match every line, flag and chase any mismatch, and keep the books clean and current. - Carrier follow-up: Log into insurance carrier portals daily, find outstanding requirements, report exactly what's needed, and call carriers to follow up when a payment date has passed. - Communications: Manage the owner's email and Discord - triage messages, compile questions and requests into clean lists, and handle routine replies. - Customer service: Make post-sale service calls to clients when needed. - Daily reporting: End each day with detailed notes on what you accomplished and anything that needs the owner's decision. WHAT WE'RE LOOKING FOR - Relentless attention to detail - you catch the number that doesn't match - Excellent spoken and written English; comfortable on the phone with candidates, clients, and carriers - Proactive follow-through - you close loops without being reminded - Highly organized; great with spreadsheets, portals, and tools like QuickBooks, Discord, and Google Workspace - Discreet and trustworthy - you'll handle sensitive financial information - Able to work full-time overlapping U.S. Eastern business hours NICE TO HAVE - Experience in insurance, real estate, or financial services - Prior bookkeeping or executive-assistant experience TO APPLY: Start your application with the word "RECONCILE" so we know you read this carefully.
