Summary

We are looking for an experienced Airtable expert to build a practical CRM, lead management, job/project tracking and recruitment tracking system for a construction, property maintenance and recruitment business. We do not need a bespoke coded CRM. We need a lean, practical Airtable-based system that our team can use daily. The system needs to help us: Stop missed enquiries Track all leads properly Capture and organise Checkatrade enquiries Chase quotes and follow-ups Secure deposits and paid assessments Track small jobs such as flat pack assembly, handyman jobs and repairs Track larger jobs such as refurbishments, renovations and multi-trade projects Manage job bookings and operative handovers Track project stages, blockers and payment milestones Track recruitment candidates, applicants, trades, subcontractors and trainees Manage recruitment stages, interviews, onboarding and candidate status Give directors clear visibility of leads, jobs, recruitment and team performance Track trainee/user KPIs and performance We currently use Checkatrade as one of our main lead sources. We need a practical way of getting Checkatrade enquiries into Airtable as smoothly as possible. This could be through email parsing, Make/Zapier automation, forms, manual import workflow, or any available compliant integration method. We need the freelancer to advise the best practical solution. Core requirements: Lead intake and enquiry tracking Checkatrade lead capture/integration where possible Client and property records Quote pipeline Paid assessment tracker Deposit/payment tracker Follow-up reminders Small works/job tracker Larger project/refurbishment tracker Job booking and operative handover board Project stages, blockers and payment milestones Recruitment/candidate tracker Trade/subcontractor database Trainee onboarding and probation tracker Director approval dashboard Trainee/user KPI dashboard Lost lead reasons and source tracking Basic admin/software expense tracking Simple SOP and recorded handover Small works examples: Flat pack assembly Handyman jobs Small repairs Minor maintenance Small joinery jobs Painting touch-ups Single-day jobs For small jobs, we need simple tracking for: Lead source Quote status Deposit/payment status Booking date Operative assigned Job notes Completion status Customer follow-up/review request Larger project examples: Refurbishments Renovations Extensions Multi-trade jobs Insurance works Commercial/property maintenance packages Jobs with staged payments For larger projects, we need tracking for: Scope of works Project status Start date Target completion date Key stages Payment milestones Materials/procurement notes Risks/blockers Assigned operatives/subcontractors Director approvals Project updates Recruitment requirements: We also need Airtable to support our recruitment side. This should help us track applicants, trades, subcontractors, operatives and trainee project manager candidates. Recruitment tracking should include: Candidate/applicant name Contact details Role/trade applied for Location Availability CV/notes Certifications/tickets where relevant Own transport/tools where relevant Application source Phone screening status Interview status Zoom/interview booked Selected/rejected/on hold Onboarding status Probation status Candidate strengths/weaknesses Linked job/client/opportunity where relevant Follow-up date Internal notes We would like this recruitment section to support both: MCS Recruitment activity for construction-related candidates, trades and subcontractors DQ/MCS trainee project manager or lead-handler candidates who may support lead intake, quotes, deposits, admin, follow-ups and project coordination The Airtable setup should include: Proper linked tables Clear CRM pipeline Job/project tracking tables Recruitment/candidate tracking tables Trade/subcontractor database Custom views Interfaces/dashboards Automations/reminders Source tracking Team/user assignment KPI tracking Simple workflow documentation Handover training Budget: Around £2,000 fixed price. Estimated time: Approximately 30–45 hours for an experienced Airtable builder. Expected delivery: We want the first working version built quickly, ideally within 2–4 weeks, with time allowed for testing, revisions and handover. Payment milestones: Milestone 1 — £400 Create the first working Airtable base with visible progress. This should include the core tables, linked records, lead stages and basic structure for leads, clients, quotes, deposits, paid assessments, jobs and recruitment candidates. This milestone is not for planning only — we need to see a usable first version. Milestone 2 — £500 Build the full lead-to-deposit workflow, including lead stages, quote status, deposit status, paid assessment status, follow-up dates, source tracking and job booking/handover status. Milestone 3 — £400 Build the job/project tracking and recruitment tracking sections, including small works, larger projects, operatives/subcontractors, candidates, interviews, onboarding and trainee probation status. Milestone 4 — £400 Create dashboards/interfaces/views for directors and team members, including hot leads, overdue follow-ups, deposits due, approvals required, paid assessments, booked jobs, live projects, recruitment pipeline, available trades, candidates and KPI tracking. Milestone 5 — £300 Set up basic automations/reminders, final fixes, recorded handover, simple SOP/training guide and full admin access transfer to our own Airtable workspace. This is not a full enterprise CRM project at this stage. We want a strong Airtable MVP first, then future improvements can follow if the system works well.
