#About Us We are an Australian-based independent treasury and foreign exchange advisory firm working with corporate clients across Australia, New Zealand, Asia, Europe and North America. We help businesses improve their treasury function by providing independent advice, benchmarking FX providers, increasing hedging capacity and implementing sophisticated foreign exchange risk management strategies. As our business grows, we're looking for an experienced *HubSpot CRM & Microsoft 365 Operations Specialist* to become an extension of our team. This is *not* a typical virtual assistant role. We're looking for someone who can take ownership of our CRM, improve business processes, maintain data integrity and help build scalable systems that support our sales and operations teams. This is an ongoing opportunity with significant scope to grow. # About the Role You will work directly with our founders and sales team to manage our CRM, Microsoft 365 environment and internal business systems. Your primary objective will be to ensure our data, systems and workflows remain clean, efficient and scalable. # Key Responsibilities #HubSpot CRM Management • Maintain CRM data quality and integrity • Identify, review and merge duplicate companies and contacts • Build and maintain contact, company and deal records • Create and manage active and static lists • Build dashboards and reporting • Configure custom properties • Build workflows and automation • Manage sales pipelines and lifecycle stages • Import, clean and validate large datasets • Maintain data standards across the CRM • Support our sales team with HubSpot best practice • Recommend improvements to CRM processes # CRM Data Integrity & Sales Operations • Data cleansing • Data enrichment • Duplicate management • Standardising records • Database health audits • Reporting and analytics • Process documentation • Sales operations support • Lead assignment • Workflow optimisation #Sales Intelligence Platforms We currently use: • Apollo.io • ZoomInfo • Firmable You'll help ensure these platforms are properly integrated with HubSpot and that our prospect data is accurate, enriched and synchronised. Experience with any of these platforms is highly desirable. # Microsoft 365 Administration You'll also assist with administration of our Microsoft environment including: • Outlook • Exchange Online • Shared Mailboxes • Microsoft Teams • SharePoint • OneDrive • User management • Microsoft licensing • Security settings • Email configuration • Basic troubleshooting • Microsoft 365 best practice Automation & Process Improvement We're looking for someone who enjoys making businesses more efficient. Examples include: • Creating automation • Reducing manual administration • Improving reporting • Building scalable workflows • Integrating systems • Recommending better ways of working • Documenting processes • Supporting operational excellence If you see a better way of doing something, we want to hear it. # Essential Skills & Experience You should have strong experience with: • HubSpot CRM • Microsoft 365 Administration • CRM data management • CRM migrations • CRM clean-up projects • Workflow automation • Excel • Reporting & dashboards • Business process improvement • Data integrity management # Highly Desirable Experience with: • Apollo.io • ZoomInfo • Firmable • HubSpot Operations Hub • Clay • API integrations • Revenue Operations (RevOps) • Sales Operations • AI productivity tools # About You We're looking for someone who is: • Highly organised • Detail-oriented • Proactive • Commercially minded • Excellent at problem solving • Fluent in English • Comfortable working independently • Able to identify opportunities for improvement • Reliable and responsive We value initiative just as much as technical ability. # Availability This is a *remote role* requiring regular overlap with *Australian Eastern Standard Time (AEST/AEDT)*.
