Job Description: Intake Specialist Position Summary The Intake Specialist is the first impression of our law firm and plays a critical role in our growth. This is not an administrative position—it is a sales and client experience role. Your primary responsibility is to build trust with prospective clients, understand their needs, and guide qualified prospects toward scheduling and retaining our firm. The ideal candidate is an excellent communicator who enjoys helping people, thrives in a fast-paced environment, and is motivated by achieving measurable results. Key Responsibilities Answer inbound calls, texts, web chats, and online inquiries promptly and professionally. Return all inquiries in under 5 minutes. Politely decline sales calls & forward calls to appropriate team member Build rapport with prospective clients while demonstrating empathy and confidence. Qualify prospective clients using the firm’s intake criteria. Clearly explain the firm’s process and next steps. Schedule consultations with qualified leads. Send out welcome / intake emails to new clients within 30 minutes of them agreeing to retain the firm. Follow up consistently with prospective clients who have not yet scheduled or retained the firm. Maintain accurate and detailed notes in the CRM/case management system. Ensure every lead receives timely communication and exceptional customer service. Track daily activity and meet established performance goals. Confirm scheduled consultations and appointments. Collaborate with attorney and staff to ensure a seamless client onboarding experience.
