Invoicing & Field Coordination Specialist || Remote

About the role We're a US-based field-services and fleet-maintenance company; automotive repair, mechanic workforce support, and transportation across several US states. We're hiring a proactive, detail-obsessed Invoicing & Field Coordination Specialist to own our invoicing and to be the office point of contact for our field crews. Every day, our crews finish jobs and send in the details; your job is to gather that information, chase down anything missing, turn it into accurate invoices, and follow up until we get paid. You'll take this work off our operations managers so they can stay focused on the field. This is a full-time remote (work-from-home) position. Reliable internet and a quiet workspace required. You must be comfortable spending your day on email, phone calls, and text/messaging. Working hours overlap US Eastern Time (EST). What you'll do • Create and send accurate invoices from the job information field crews submit each day • Apply the correct client, location, service type, and rate to each job (hours × rate, plus parts, washes, mileage, travel/housing line items) • Coordinate daily with field technicians and crews - by call, text, and email; to collect complete job details and chase down anything missing • Follow up on unpaid invoices and manage collections politely but persistently chase payment • Keep a clean daily record of work orders and flag anything that doesn't add up • Maintain a client + rate reference sheet so every job can be priced consistently • Submit compiled billing to managers for quick approval (not full re-work) • Work within our tools: phone/messaging system, repair-order platform, QuickBooks, and a billing dashboard You're a great fit if you have • Strong attention to detail and comfort with numbers and spreadsheets • Clear, confident written and spoken English you'll be on calls and emails all day • A proactive, follow-through personality you chase people for information and don't let things slip • Experience in invoicing, billing, accounts receivable, dispatch/coordination, or as an automotive service writer (any one of these) • Willingness to learn our services and how we price them we'll train you (and AI tools help); you don't need to be a mechanic Nice to have • Spanish (we work with many Spanish-speaking crews, clients, and vendors) • General familiarity with vehicles, fleet, or field-service work • Prior remote / VA experience supporting a US company • QuickBooks or repair-order platform experience What we offer • Full-time, stable remote work • Training on our systems, services, and pricing • Growth into a broader billing / AR ownership role as we scale To apply Send a short note covering: your invoicing / AR / coordination experience, how comfortable you are on calls and email, your English (and Spanish, if any) level, your internet speed, and your availability in US Eastern Time (EST).
