Summary

Freight and Last-Mile Logistics Coordinator Position Overview Valyrian Designs is seeking an organized and experienced Freight and Last-Mile Logistics Coordinator to manage shipments from the warehouse through final delivery to our customers. The ideal candidate has experience using MyCarrier, obtaining and comparing freight quotes, booking LTL and full-truckload shipments, creating Bills of Lading, coordinating warehouse pickups, and monitoring shipments through successful last-mile delivery. This person must be proactive, highly organized, comfortable communicating with multiple freight carriers, and able to resolve delivery problems quickly. Primary Responsibilities Freight Booking and Carrier Management Use MyCarrier to obtain, compare, and review freight quotes. Select the best carrier based on cost, transit time, service level, and delivery requirements. Book LTL, volume, partial-truckload, and full-truckload shipments. Communicate directly with freight companies, brokers, dispatchers, and customer-service representatives. Negotiate rates and identify opportunities to reduce freight costs. Confirm liftgate, residential, limited-access, appointment, oversized-freight, and other special delivery requirements. Avoid unnecessary carrier charges by confirming shipment information before booking. Bills of Lading and Shipping Documents Create accurate Bills of Lading (BOLs) for every shipment. Verify the shipper, consignee, product description, freight class, NMFC information, dimensions, weight, pallet or crate count, declared value, and special instructions. Send BOLs, shipping labels, pickup numbers, and carrier information to the warehouse. Review shipping documents for accuracy before freight is released. Maintain organized digital records for every shipment. Warehouse Coordination Work directly with warehouse personnel to confirm that freight is received, identified, stored safely, and ready for pickup. Confirm crate or pallet dimensions, weight, condition, labels, and order numbers. Schedule pickup appointments and provide the warehouse with all required documents. Verify that the correct freight is released to the correct carrier. Obtain written pickup confirmation and proof that the carrier collected the shipment. Follow up immediately when freight is not picked up as scheduled. Shipment Tracking and Last-Mile Delivery Track every shipment from warehouse pickup through final customer delivery. Maintain accurate records of carrier name, pickup date, PRO number, estimated delivery date, delivery appointment, and final status. Coordinate delivery appointments with carriers, customers, warehouses, and installers. Monitor shipments daily and identify delays before they become serious problems. Handle missed pickups, delivery exceptions, incorrect addresses, damaged freight, refused deliveries, and storage issues. Confirm final delivery and obtain the Proof of Delivery. Provide customers and internal team members with clear and accurate shipment updates. Claims and Problem Resolution Assist with freight damage and loss claims. Collect photographs, BOLs, delivery receipts, invoices, inspection records, and other supporting documents. Communicate with carriers and warehouses to resolve shipping disputes. Review carrier invoices for reclassification charges, redelivery fees, detention, storage, and other unexpected charges. Escalate urgent issues immediately and provide recommended solutions. Tracking and Reporting Keep the company freight tracker updated at all times. Record warehouse status, pickup date, carrier, PRO number, ETA, delivery appointment, delivery status, and POD. Prepare regular shipment-status reports identifying completed deliveries, active shipments, delayed freight, and unresolved issues. Ensure no freight is released without complete order and shipping information. Required Qualifications Previous experience coordinating freight, transportation, warehousing, or last-mile delivery. Experience using MyCarrier or a similar transportation-management or freight-booking platform. Experience obtaining freight quotes and booking shipments with different carriers. Ability to prepare accurate Bills of Lading. Understanding of LTL freight, freight classes, NMFC codes, accessorial services, and PRO numbers. Experience working directly with warehouses and freight carriers. Strong written and verbal communication skills. Excellent attention to detail and follow-through. Ability to manage multiple active shipments and deadlines simultaneously. Strong problem-solving skills and the ability to remain calm during urgent shipping issues. Proficiency with Google Sheets, Microsoft Excel, email, and online tracking systems. Preferred Qualifications Experience coordinating oversized, heavy, crated, or high-value products. Experience with residential and appointment-based deliveries. Familiarity with liftgate, limited-access, white-glove, inside-delivery, and jobsite-delivery services. Experience reviewing freight invoices and handling freight claims. Existing relationships with LTL carriers, freight brokers, warehouses, or last-mile delivery companies. Experience coordinating shipments arriving from international ports or containers before final domestic delivery. Performance Expectations The Freight and Last-Mile Logistics Coordinator will be expected to: Maintain complete and accurate shipment documentation. Ensure BOLs are created correctly before pickup. Prevent missed pickups through proactive warehouse and carrier communication. Provide timely shipment updates without needing repeated follow-up. Identify delayed or at-risk shipments early. Confirm successful final delivery and obtain a POD for every order. Help reduce freight costs while maintaining reliable service. Take ownership of each shipment from warehouse release through final delivery. Ideal Candidate The ideal candidate does not simply book freight and wait for updates. This person actively monitors every shipment, communicates with all parties, anticipates problems, and takes responsibility for getting each order from the warehouse to the customer safely and on time.
