Make.com Expert Needed (Fix Queue Errors + Maintain AI Automation + Build New Tool)

We are a fast-growing short-term rental management company (TruePMG) operating across Texas and Tennessee. We have an existing Make.com automation that connects: Hostfully (webhooks + messaging API) OpenAI Assistants (thread-based memory) AI-generated guest responses back into Hostfully inbox The system is live, but we are now experiencing stability and scaling issues, and we need an expert to both fix and extend it. ⚠️ Current Critical Issue (What You’ll Fix First) Our Make.com scenario is currently: Automatically pausing execution Showing error: “Scenario was temporarily paused because it is set to process data sequentially and the queue of incomplete executions is not empty” We currently have: 26+ records stuck in queue Sequential processing causing backlog Delays in responding to guest messages What This Likely Involves: Fixing sequential vs parallel processing configuration Handling long-running OpenAI Assistant calls Ensuring proper completion of executions Implementing timeouts / retries / error handling Preventing queue buildup under higher message volume This is NOT a beginner issue, you must understand Make.com execution behavior deeply. Existing System Overview Our current scenario: Webhook (Hostfully – NEW_INBOX_MESSAGE) Router by property_uid OpenAI Assistants API Uses thread_uid mapped to Assistant threads for memory HTTP POST back to Hostfully The logic works — but fails under load / queue pressure. Scope of Work 1. Immediate: Debug & Stabilize Resolve queue backlog issue Ensure scenario does not auto-pause Fix incomplete executions Improve execution speed and reliability Implement robust error handling + logging 2. Ongoing Maintenance Monitor and fix edge cases Improve performance and scalability Clean up and simplify scenario design where needed 3.
