Marketing & Operations Assistant
Worldwide
Marketing & Operations Assistant / Growth VA Help build something from the ground up I’m looking for a proactive, organised and digitally capable Marketing & Operations Assistant to work alongside me as I build and grow an exciting startup. This is not a traditional “manage my diary and answer emails” VA role. It will be varied. One day you might be turning an AI-generated design into a polished LinkedIn post. The next, you could be editing a short video, setting up a webinar, following up with attendees, updating a marketing funnel or figuring out why one of our tools has suddenly decided not to cooperate. You’ll be supporting the marketing, content, systems and day-to-day operations of a growing business. You’ll have the opportunity to learn new tools, develop new skills and gradually take more ownership as the business grows. The role will initially be part-time and freelance, but I’m looking to build a long-term working relationship. For the right person, there is genuine potential for more hours and potentially a full-time or permanent role as the business develops. ## What you’ll be helping with The work will develop as the business grows, but some of the areas you may be involved in include: ### Content, design and social media * Take designs and creative ideas I have produced using AI and turn them into polished, consistent content for social media. * Help maintain brand consistency across colours, fonts, layouts, imagery and overall style. * Create and adapt content for LinkedIn, Instagram and potentially other platforms. * Turn ideas, voice notes, articles, videos and longer pieces of content into social posts, graphics, carousels and shorter content. * Schedule and publish agreed content. * Help maintain a content calendar and keep content moving from idea to publication. * Monitor comments, messages and engagement, and flag relevant conversations or opportunities. * Organise and maintain a library of brand, design, video and content assets. ### Video editing and content repurposing * Edit short-form videos for LinkedIn, Instagram and other social platforms. * Add captions, branding, simple graphics and suitable formatting. * Turn webinars, recordings and longer videos into shorter clips and useful content. * Help make sure content is presented consistently across different platforms. ### Marketing tools, funnels and systems * Take ownership of the day-to-day administration of marketing tools such as ScoreApp, Funnlr and UpWebinar. * Help create, update and test forms, landing pages, emails, automations and marketing journeys. * Check that links, registrations, reminders and follow-up processes are working correctly. * Learn and manage new tools as the business develops. * Help organise and document processes so that the business becomes less dependent on everything sitting in one person’s head. * Identify repetitive work that could be simplified, improved or automated. ### Webinar and attendee support * Manage webinar registrations and attendee information. * Make sure people receive the correct confirmation emails, reminders and joining information. * Monitor registrations and attendance. * Follow up with people who register but do not attend, using agreed messages and processes. * Help encourage registrations to turn into actual attendance. * Keep records accurate and make sure people are moved through the appropriate follow-up process. * Help identify where people are dropping out of the registration or webinar journey. ### Marketing and lead administration * Maintain accurate lead, activity and follow-up records. * Support prospect research and list building. * Help with LinkedIn outreach administration and follow-up. * Keep lead stages, contact information and next actions up to date. * Support Facebook marketing activity, including content publishing, community activity and basic campaign administration. * Help track marketing activity and prepare simple weekly updates. * Flag anything that appears to be falling through the gaps or needs a decision. ### General business and administrative support * Provide general administrative support as required. * Organise files, documents, digital assets and online systems. * Help keep projects moving and make sure agreed actions do not disappear into the abyss. * Support new projects and take on additional responsibilities as the business grows. ## A quick word about the rather large wish list… You may have read the list above and thought: **“Blimey. They want a designer, social media manager, video editor, marketing assistant, webinar producer, systems administrator and VA all rolled into one.”** Fair point. This is a startup, and the role will be varied. There will be plenty to do, new tools to learn and probably a few things we haven’t even thought of yet. But the list above is a **wish list, not a list of non-negotiable requirements**. I’m not expecting one person to arrive knowing every platform, tool and skill mentioned. If you already have experience across several of these areas, great. If there are things you haven’t used before but you’re confident you can learn, that is absolutely fine too. Please don’t rule yourself out simply because you don’t tick every box. What matters more to me is your attitude. I’m looking for someone who is curious, practical and happy to get stuck in. Someone who sees a problem and thinks: **“Right, how do we solve this?”** rather than: **“That wasn’t in the job description.”** Things will occasionally go wrong. Technology will misbehave. Plans will change. We’ll make mistakes. You’ll make mistakes. I’ll make mistakes. That is part of building something. What matters is that we’re honest about them, take ownership, fix what we can and learn from them. I would much rather hear: **“I made a mistake. Here’s what happened, here’s what I’ve done to fix it, and here’s how we can stop it happening again.”** than have someone hide a problem, make excuses or hope it goes away. You don’t need to be perfect. You don’t need to know everything. I would rather work with someone who is resourceful, reliable, willing to learn and prepared to take ownership than someone with an impressive list of skills who waits to be told exactly what to do. ## You’ll probably enjoy this role if you: * Like variety and get bored doing exactly the same thing every day. * Are comfortable learning new software and figuring things out. * Have a practical “can do” attitude. * Can work from a rough idea and help turn it into something useful. * Are proactive and willing to suggest a better way of doing something. * Can manage your own work without needing someone to check every small detail. * Stay calm when technology misbehaves or plans change. * Are comfortable saying, “I haven’t used that before, but I’ll work it out.” * Take responsibility when something goes wrong. * Communicate clearly and raise problems early rather than waiting until they become bigger. * Enjoy helping a business grow and want to be part of building something rather than simply completing a fixed list of tasks. ## Skills and experience that would be useful Experience in some of the following would be helpful: * Virtual assistance and business administration * Social media management, particularly LinkedIn and Instagram * Canva or similar design tools * AI content and design tools * Short-form video editing using CapCut, Descript, Adobe Premiere Pro or similar tools * Marketing funnels, landing pages and email automations * Webinar platforms * CRM or lead-management systems * Facebook or Meta Business tools * Google Workspace, spreadsheets and project-management tools * Content scheduling and social media management platforms Experience with ScoreApp, Funnlr or UpWebinar would be useful, but it is **not essential**. The ability and willingness to learn unfamiliar software is more important than already knowing every platform. ## How we’ll work together I’ll provide the overall direction, ideas, positioning, priorities and core messaging. Your role will be to help turn those ideas into consistent action, keep things moving and gradually take more ownership as your confidence and experience grow. I don’t expect you to be a marketing strategist, copywriter, designer, video editor and technical expert all at once. I am looking for someone who can take an idea, ask sensible questions where needed, work things out, complete the task to a good standard and tell me when something needs attention. There will be room to suggest improvements and help shape how we work. If you spot a better way of doing something, I want you to say so. ## Working arrangement * Remote freelance role * Initially approximately **10–15 hours per week** * Hours may increase as the business grows * Some overlap with UK working hours would be useful * Flexible working arrangements * Long-term opportunity for the right person * Potential to develop into a larger role and potentially full-time or permanent work over time ## To apply Please send: 1. A short introduction explaining why this role interests you. 2. A brief summary of the areas above where you have the most experience. 3. Examples of relevant work, such as social media graphics, video edits, marketing systems or administrative projects. 4. The tools and platforms you have used. 5. Your hourly rate and typical weekly availability. 6. One example of a time something went wrong at work and what you did about it. You do not need to write a long application. I’m more interested in understanding how you think, how you approach unfamiliar problems and whether you would enjoy working in a varied startup environment. Please start your application with: **“I don’t need to know everything to work it out.”** That will let me know you have read the full advert. If you’re organised, resourceful, willing to learn and like the idea of helping build something from the ground up, I’d be interested to hear from you.
