Marketing Operations Coordinator (GHL & Xero)

We are a hybrid between a SaaS & a digital marketing agency moving into the full SaaS space. We’re looking for a highly organised and proactive Operations Coordinator to become an important part of our growing business. This role is centred around one objective: keeping the operational side of the business running smoothly so the founders can focus on growth, strategy and customers. You’ll be responsible for managing Go High Level, keeping our financial administration organised in Xero, supporting day-to-day business operations and helping ensure nothing falls through the cracks. This role will begin on a flexible part-time basis while we continue growing, with a clear pathway to a long-term full-time position for the right person. We’re looking for someone who enjoys creating order, improving systems and taking ownership of their work. ⸻ Your Core Responsibilities 1. Go High Level (Most Important) Go High Level is the most important platform in our business. We’re looking for someone who is already comfortable navigating the platform and understands how it works. Your responsibilities may include: * Managing client accounts * Organising contacts, opportunities and pipelines * Maintaining workflows and automations * Supporting client onboarding * General CRM administration * Keeping our GHL workspace organised * Troubleshooting day-to-day issues We’ll happily teach you how we use Go High Level internally and provide SOPs for our processes, but we’re not looking to teach someone the fundamentals of the platform from scratch. ⸻ 2. Xero Xero is the second most important platform in this role. You’ll help keep our financial administration organised by: * Organising invoices and receipts * Matching payments where required * Keeping bookkeeping records accurate and up to date * Preparing information for our accountant * Maintaining an organised financial workflow You won’t be replacing our accountant. Your role is simply to keep everything organised behind the scenes so nothing gets missed. ⸻ 3. Operations Support Using our documented SOPs, you’ll assist with operational tasks across the business, including: * Google Ads account setup * Meta Business Manager account setup * Google Business Profile updates * Uploading photos to Google Business Profiles * Accepting account access requests * Organising Google Drive folders * General operational support Most of these tasks are documented and can be learned quickly. ⸻ 4. Executive Assistance & Email Organisation You’ll help keep the founders organised by managing our primary administration inbox. This includes: * Monitoring the admin email account * Flagging anything requiring founder attention * Organising invoices and administrative correspondence * Responding to routine administrative emails where appropriate * Helping ensure important tasks don’t fall through the cracks Your role isn’t to manage every aspect of the business—it’s to help keep the operational side organised so the founders can focus on high-value work. ⸻ What We’re Looking For Essential * Confident using Go High Level * Excellent organisational skills * Strong written English * High attention to detail * Reliable and trustworthy * Comfortable working independently * Able to follow documented processes * Proactive with a problem-solving mindset Highly Desirable * Xero experience * Google Ads experience * Meta Business Manager experience * Google Business Profile experience * Executive Assistant or Operations experience * Marketing agency or SaaS experience ⸻ This Role Is Perfect For Someone Who… * Loves keeping systems organised * Naturally notices when something needs doing * Takes ownership instead of waiting for instructions * Enjoys improving processes * Wants to grow with a business over the long term ⸻ This Role Probably Isn’t For You If… * You’ve never used Go High Level. * You need constant direction. * You dislike learning new software. * You struggle managing multiple priorities. * You prefer repetitive work over solving problems. * You’re looking for a short-term freelance project. ⸻ Growth Opportunity We’re looking for someone who wants to grow with the business.
