We’re hiring a reliable, detail-oriented Marketing VA to support a women-centered brand by executing publishing workflows across email newsletters, podcast publishing, and social media scheduling. You’re Joining the Team This role is execution-focused, but you’re not “just” an executor. We need someone who takes ownership, thinks critically, and helps the brand grow by keeping our systems tight and deliverables consistent. We do bi-weekly calls for alignment and accountability—expect to bring updates, flag blockers, and propose solutions. This is an execution role. The content strategy and topics are already planned by our Founder and Community & Editorial Strategist. Your job is to take planned content and turn it into finished, scheduled, and published deliverables—with strong formatting, accurate links, and consistent task updates. Contract Structure Retainer: up to 10 hours/week Probation: 90-day trial period (performance-based) Ongoing contract available after 90 days if the role is a strong fit What You Do (Core Responsibilities) 1) Turn Ideas Into Finished Content Take planned stories/articles/podcasts and turn them into ready-to-publish content based on instructions. Edit and format content for clarity and readability (clean paragraphs, spacing, scannable layout). 2) Manage Publishing + Scheduling (Non‑negotiable) Schedule and publish content to the correct platform(s) only when approved. Maintain clean organization of links, files, and versions. 3) Email Newsletters / Campaigns Set up newsletters and campaigns in our email platform using pre-written copy. Insert/format text, add links, confirm all links work, send a test, and schedule. Ensure the layout matches our style and reads well on desktop + mobile. 4) Podcast Production Support Support podcast publishing using existing SOPs. Upload episodes, publish/schedule, and ensure the episode appears correctly on the right platforms. Create simple promo assets when needed (using templates/brand guidelines). 5) Quality Control (Details Matter) Before marking anything complete, you will: Confirm links work Confirm formatting is readable (no “wall of text”) Confirm correct asset/version is used Confirm scheduled/published status is accurate Confirm final output matches instructions 6) Support Founder + Editorial Strategist Follow instructions precisely. Ask questions early when something is unclear. Provide quick status updates on what’s scheduled, live, or pending approval. How We Work (Tools + Workflow Expectations) We collaborate using: Upbase (planner / task tracking) Canva (graphics/templates) Zoho (email, campaigns, drive, docs, social scheduler) Planner Hygiene Standard: If a task is assigned to you, you maintain it. That includes acknowledgement, progress updates, and closing loops. Responsiveness Standard: If you’re tagged on a task, you must acknowledge within 24 business hours (“Received / In progress / Blocked”). What You Don’t Do (So This Stays Clean) You do not plan the content calendar or choose topics (handled by our Community & Editorial Strategist + Founder). You do not handle contributor outreach, relationship-building, or partnership follow-ups. You do not plan or manage in-person events. You do not make big strategic decisions—your focus is execution quality and consistency. What Success Looks Like (90‑Day Probation Metrics) We’ll evaluate fit based on: Reliable responsiveness + acknowledgement Consistent task updates inside the planner Campaigns are formatted well, links tested, test email sent, and scheduled correctly Social posts move through the planner to Scheduled/Published based on the dates listed Podcast publishing steps are followed via SOP and closed out cleanly Minimal reminders needed after onboarding Work Ownership (Non‑Negotiable): You take tasks from assigned → executed → scheduled/published → documented in the planner, without reminders.
