Virtual Assistant – Calls, Emails & Operations Support (U.S. Time Zone) (Optional side role: marketing, social media, content creation if there is interest) We are a growing, high-performance medical practice looking for a reliable, proactive Virtual Assistant to help manage calls, emails, and day-to-day operational tasks. This role is ideal for someone who gets things done, takes ownership, and adapts quickly as needs evolve. This is NOT a passive role. Tasks may change day-to-day, and we value execution and accountability far more than prior medical experience. We will train the right person. Must-Have Requirements Fluent English (spoken and written) – REQUIRED Spanish preferred (large Spanish-speaking patient population) Excellent phone presence and customer-service mindset Strong written communication (emails, messages, notes) Fast, accurate typing and good grammar Organized, detail-oriented, and dependable Comfortable handling multiple tasks and deadlines Stable high-speed internet, computer, headset, and video capability Availability during Pacific Time business hours (approximately 9am–6pm PST) Key Responsibilities Main responsibility will be doing intakes for new patients after patient schedules and appointment and before the actual visit. Note completion. Below are other as needed responsibilities: Prior authorization for procedures with insurances Answering and routing phone calls professionally Managing emails and basic patient communications General virtual office assistance and administrative support Scheduling coordination and referral communications Task management, follow-ups, and reminders Basic billing and administrative tasks (training provided) Helping keep operations organized and moving efficiently Tasks may evolve—flexibility is essential.
