Medical-Legal Coordinator

Position Summary Brain, Spine & Pain Institute is seeking a highly organized and detail-oriented Medical-Legal Coordinator to oversee the administrative coordination of medical-legal matters across the practice. This role serves as the central point of contact for attorney communications, litigation-related requests, medical record coordination, expert witness activities, scheduling, and case-related administrative workflows. The ideal candidate is exceptionally organized, thrives in a fast-paced environment, can manage multiple competing priorities simultaneously, and has strong professional communication skills. Prior experience in a law firm, personal injury practice, insurance environment, healthcare setting, litigation support role, or medical-legal field is strongly preferred. Key Responsibilities * Coordinate attorney, insurance, and third-party requests related to medical-legal matters. * Manage and track medical-legal workflows from receipt through completion. * Coordinate medical record requests, document collection, and related administrative processes. * Track deadlines, outstanding requests, and follow-up activities. * Maintain accurate records of expert witness activities, deposition appearances, and testimony history. * Coordinate scheduling and logistics related to depositions, record reviews, examinations, meetings, and other medical-legal activities. * Maintain case trackers, status reports, and workflow management tools. * Serve as a professional liaison between attorneys, insurance representatives, patients, and internal departments. Executive & Administrative Support * Provide administrative support to the Medical Director. * Manage scheduling, calendar coordination, and meeting logistics. * Assist with email management, correspondence, and follow-up communications. * Track projects, action items, and operational priorities. * Prepare routine reports, summaries, and administrative documentation. Records & Documentation Management * Organize and maintain electronic files, correspondence, and supporting documentation. * Ensure records and documentation are complete, organized, and readily accessible. * Monitor document requests and maintain accurate tracking systems. * Support compliance with internal documentation and record retention procedures. Qualifications **Required** * Exceptional organizational and time-management skills. * Ability to manage numerous active matters simultaneously while maintaining accuracy. * Strong attention to detail and follow-through. * Excellent written and verbal communication skills. * Strong proficiency with Microsoft Office, Google Workspace, spreadsheets, and document management systems. * Ability to maintain confidentiality and exercise professional judgment. * Experience in a law firm, personal injury practice, litigation support role, insurance company, healthcare organization, or medical records environment. **Preferred** * Experience coordinating attorney requests, document management, subpoenas, depositions, or related administrative processes. * Familiarity with medical records and healthcare documentation. * Experience supporting executives or senior leadership.
