We pride ourselves on delivering a luxury, high-touch, five-star concierge experience to our cosmetic patients.We operate under a highly structured, modern leadership format: our medical staff and surgical suites are directed by an on-site Clinical Director, and our high-level financial strategy is guided by a Fractional CFO. We are seeking a highly organized Medical Practice Manager to serve as our central business operations anchor, owning human resources, non-clinical workflows, and disciplined accounts payable coordination. Position Overview As our Practice Manager, you will run a tight operational and administrative ship. You will not be responsible for high-level financial forecasting, strategic CFO duties, or clinical schedules. Instead, your mission is to manage our non-clinical team, oversee HR compliance, and serve as the essential, high-trust "first line of defense" in our financial pipeline by verifying and initiating vendor payments. Core Responsibilities 1. Accounts Payable & Financial Coordination *Invoice Verification: Receive all incoming vendor invoices (surgical implants, medical gases, marketing agency bills, office supplies). *Three-Way Matching: Coordinate with the clinical team to verify that all invoiced goods were received or services were fully rendered. *Payment Initiation: Input verified invoices into our AP portal, ensuring correct billing details, and initiate the payment request to pass to our Fractional CFO for coding and executive approval. *Payroll Prep: Audit hourly staff timecards, track PTO logs, and prepare clean reports for the payroll processor. 2. HR & Non-Clinical Team Management *Personnel Ownership: Manage the full employee lifecycle (hiring, onboarding, employee file compliance, benefits administration, and offboarding) for all 20 team members. *Front-of-House Leadership: Supervise and coach our receptionists and patient coordinators, tracking conversion metrics to maintain a luxury patient experience. *Compliance Safeguard: Maintain the practice's documentation for HIPAA, OSHA, and Texas labor law compliance. 3. General Practice Operations *Tech Stack Integrity: Monitor the use of our Practice Management Software (EHR/PMS) to ensure data is inputted cleanly and accurately across the clinic. *Vendor Management: Act as the main point of contact for non-clinical vendors, including IT support, building maintenance, and office suppliers. Key Requirements *Experience: Minimum of 3–5 years of experience as a Medical Practice Manager or Office Manager. Private specialty practice experience (Plastic Surgery, Dermatology, or Medical Spa) is a massive plus. *Financial Discipline: Strong background in basic bookkeeping or accounts payable workflows, with an uncompromising eye for detail and data accuracy. *Software Fluency: Proficiency with medical software (EMR/EHR) and modern workplace tools (e.g., Bill.com, QuickBooks Online, Slack/Teams). *Location & Context: Strong alignment with the Dallas-Fort Worth metroplex (Central Time) market expectations, localized healthcare compliance, and premium service standards.
