Medical Records Retrieval Specialist

Job Overview: Responsible for obtaining, tracking, and managing medical records from healthcare providers and facilities. Ensures accurate, timely, and HIPAA-compliant retrieval to support billing, legal, insurance, or healthcare operations. Responsibilities: * Request and follow up on medical records via phone, email, fax, portals, or mail * Track requests and update CRM or tracking systems * Review records for accuracy and completeness * Organize, upload, and index records in internal systems * Ensure HIPAA and data privacy compliance * Communicate with clients, providers, and internal teams on record status * Escalate delayed or incomplete requests * Maintain detailed documentation of all activities Qualifications: * 1–2 years’ experience in medical records retrieval, healthcare administration, or related field * Strong knowledge of HIPAA and medical record confidentiality * Excellent English communication skills * Detail-oriented, organized, and able to handle high-volume requests * Proficient in CRM systems, EMR/EHR platforms, and Google Workspace or MS Office Preferred: * Experience with US healthcare providers * Experience with insurance companies, personal injury law firms, or medical billing * Familiarity with medical terminology, fax systems, and provider portals Key Competencies: * Persistence and follow-through * Time management and multitasking * Professional phone etiquette * Problem-solving and data accuracy
