Summary

We're a growing better-for-you snack brand (Delaware C-corp) looking for a reliable, detail-obsessed bookkeeper to own our monthly close in QuickBooks Online Plus. We run accrual basis with inventory and sell across multiple channels (distributors, retail, marketplaces, and DTC/Shopify). We already have a documented CPG chart of accounts and a one-page rules memo that spells out exactly how we book trade spend, COGS, and channel revenue, so you won't have to invent our system. You do have to execute it precisely. This is a recurring monthly engagement, not a one-time cleanup, and we want someone we can keep for years. What you'll do each month: - Reconcile all bank and credit card accounts - Categorize transactions against our existing CPG chart of accounts (no simplifying or renaming) - Book accruals: co-manufacturer tolling, inbound freight, and trade-spend deductions in the period earned - Maintain inventory and relieve to COGS as units sell - Treat trade spend (off-invoice discounts, slotting, promotions, scans, demos, distributor deductions) as contra-revenue so our P&L shows gross sales, trade spend, net revenue, full COGS, and gross margin by channel - Deliver a reconciled accrual P&L, balance sheet, and AR/AP aging by the 10th business day, plus a short note on anything that looks off and trade spend as a percent of gross sales Requirements: - Demonstrated experience keeping accrual books with inventory for a product company (CPG, e-commerce, or manufacturing) - Fluent in QuickBooks Online Plus; QuickBooks ProAdvisor certification preferred - Comfortable working from a defined chart of accounts and a written rules memo - Clear communicator who flags issues early Nice to have: direct CPG / food & beverage experience (trade spend, distributor deductions, co-man COGS); familiarity with Bill.com and Rho. To be considered, please answer these in your proposal: 1. How would you present net revenue on our P&L, and where does trade spend sit? 2. A distributor pays us net of a $1,200 promotional deduction for a price promotion that ran last month. Walk through the entries and which period each hits. 3. Our co-manufacturer produced 500 cases on June 28 and invoices us July 9. How and when do you book the tolling cost? 4. Inbound ocean freight on an ingredient shipment: which account, and is it COGS or operating expense? Why? 5. Have you closed accrual books with inventory for a product company before? Please give one reference we can call. Proposals that skip these questions won't be reviewed. We'll share our full chart of accounts and rules memo with shortlisted candidates. We'd like to start with a one-month paid trial close, then continue ongoing if it's a good fit.
