Nonprofit Bookkeeper (QuickBooks Online + Class Tracking) for US Arts Organization, 10-15 hrs/week

I run a US-based fractional finance and accounting practice. I am hiring a detail-oriented bookkeeper to support a long-term client engagement with a US nonprofit arts organization. You will work under my direction, and everything you prepare is reviewed by me (a CPA) before it goes to the client. THE WORK Weekly: - Enter and code all income, deposits, and expenses in QuickBooks Online within 5 business days of receiving documentation - Every entry must carry both the correct GL account and the correct class under a newly implemented chart of accounts. Entries without class coding are incomplete - Process vendor bills in Ramp (AP platform) with full supporting documentation attached - Support a weekly contractor payment cadence and expense submissions Monthly: - Bank reconciliations: operating account, several restricted program bank accounts, and payment processor activity. Every reconciliation ties out to source documents - Reconciliation between the client's donor database and QBO, with variances itemized, never plugged - Month-end journal entries for allocations and accruals, prepared exactly as directed Ongoing: - Maintain per-project ledgers for a fiscal sponsorship program (income, expenses, admin fees, fund balances by project) - Maintain grant schedules tracking spending against restricted grant budgets by class - Book royalty income and maintain a royalty liability account per allocations provided - Year-end 1099 preparation support REQUIREMENTS - Strong QuickBooks Online experience with class tracking (please describe specific engagements in your proposal) - Clean bank reconciliation habits with documented tie-outs - Nonprofit, restricted fund, or fiscal sponsorship experience strongly preferred - Ramp, Bill.com, or similar AP platform experience is a plus - Excellent written English. This role runs on written questions and documented work papers - Reliable weekly availability of 10 to 15 hours with some overlap to US business hours for handoffs HOW WE WORK The client has written SOPs for every process and we work strictly inside them. All accounting judgment calls stay with the client's finance director. When something is unclear, we ask in writing. We never guess. A wrong entry in a restricted fund is expensive to unwind, and a written question costs nothing.
