About Baleario Baleario is a Spain-based accounting and tax service supporting expats, non-residents, autónomos and small businesses. We are building a modern, system-led firm with a strong focus on clarity, responsiveness and recurring services. We have recently migrated to Odoo as our core system and are now looking for someone to help structure, maintain and scale our finance and admin processes properly from the ground up. The Role This is a hands-on bookkeeping and admin role focused on keeping the business organised, accurate and scalable. Right now, the workload is light but slightly messy (typical early-stage setup). The priority is to bring structure, consistency and control, particularly across invoicing, reconciliation and customer records. Over time, this role will grow into a core operational function. Key Responsibilities 1. Odoo Setup & Maintenance Create and manage customer records in Odoo Set up products/services and pricing structures Build and maintain recurring subscription invoices Improve system structure (clean data, naming, workflows) 2. Bank Reconciliation Reconcile transactions from Spanish business bank (CaixaBank) Match incoming payments to invoices Identify gaps between invoicing and actual cash received Flag inconsistencies or missing entries 3. Invoicing & Collections Manage monthly recurring invoices (autónomos, SL clients, annual services) Ensure invoices are sent on time and correctly Support setup of automated billing flows Assist with direct debit / payment collection setup 4. Payment Systems Support transition away from Stripe (account being closed) Help implement alternative provider (e.g. Mollie or bank solution via CaixaBank) Ensure payments link correctly to Odoo invoices Maintain clean payment tracking 5. General Admin Support Keep records organised and up to date Support document tracking (tax filings, client records) Assist with simple reporting (monthly overview, cash tracking) What We’re Looking For Must Have Experience with bookkeeping and reconciliations Strong attention to detail (this is critical) Comfortable working inside systems and cleaning data Fluent English (client-facing business) Nice to Have Experience with Odoo Experience with Spanish accounting workflows Familiarity with subscription billing models Experience with payment systems (Stripe, SEPA direct debit, etc.) How We Work This is not a corporate role. You’ll be working directly with the founder. What matters: You take ownership You spot issues before they become problems You prefer fixing systems rather than patching them There’s no heavy process yet. Part of your role is helping build it.
