Summary

We are looking for a highly organized and proactive Operations Coordinator / Executive Assistant to work directly with the CEO of a growing digital marketing and technology company. This role is focused on helping turn decisions into action by coordinating tasks, gathering information, following up with team members and vendors, and ensuring projects continue moving forward. The ideal candidate is highly organized, resourceful, detail-oriented, and excels at getting things done without constant supervision. This is not a traditional administrative assistant role. We are not looking for someone to simply manage a calendar or answer emails. We need someone who can take direction, organize information, coordinate tasks, follow up with clients, and ensure things get done. You will work directly with the owner of a growing digital marketing and technology company that manages website/app projects, marketing initiatives, software products, and ongoing client relationships. Responsibilities include: • Reviewing meeting notes and identifying action items • Coordinating with developers, designers, writers, and contractors • Following up on tasks and gathering status updates • Researching vendors, freelancers, software, and service providers • Organizing project information and documentation • Preparing summaries and recommendations based on gathered information • Creating and tracking tasks to completion • Helping coordinate client and internal communications • Ensuring projects continue moving forward without constant oversight Requirements: • Excellent written English communication skills • Strong organizational skills and attention to detail • Ability to follow instructions and execute independently • Comfortable using AI tools such as ChatGPT or Claude • Experience with project management and task coordination • Reliable internet connection and availability for regular communication Success in this role means taking a request, gathering the necessary information, coordinating with the appropriate people, and moving the task forward while keeping leadership informed.
